September 10 BG&T MinutesNOTES of MEETING MINUTES Board: Golf and Tennis Commission Date: September 10, 2019 Location: Beverly Golf and Tennis Clubhouse, Fireplace Room Members Present: Chair William Lowd, Vice -Chair Martin Lawler, Kevin Ascolillo, Arthur Athanas Members Absent: Andrew Cooper, Chad Crandell Others Present: GFMI Staff — Steve Murphy, Chris Carter,Dave Dionne, City of Beverly - Dave Gellineau, Bruce Doig, Recorder: Donna Musumeci Opening Remarks: Martin Lawler: Motion to approve the minutes of July 23, 2019, Kevin Ascolillo seconded. The motion carries (4 -0). Financial Update Report: There are invoices coming to be paid. They are for repair of the dishwasher, and replacement of a fan vent on the roof that also requires a crane rental. RFP Golf Course Management Contract Update: Bryant Ayles had met a few months back with the committee to explain what to do in the budget.He askedwe spend the minimum until the next management contract is complete. The RFP for the management contract is on the mayor's desk and under review. The due date for bids is October 30. OPM RFP Update: The RFP refers to the OPM RFP which is complete. We are waiting on the Mayor to review and execute the OPM contract and move forward to the Architect phase. BF &T Site Projects Update: Golf Course Review: Bill Lowd discussed the meeting held with the Cummings Center regarding the shoe pond water level operation. He and Andy Cooper met with them. Based on their feedback, and our conclusion, we think the problem is the pipe under McKay being clogged. Talked about getting a camera, efforts to fix it etc.; need to further evaluate on its condition and next steps. Ongoing. ClubhouseNeranda: Completion of the MAAP compliance report is extended to May 1, 2020. Neighborhood Traffic: There is a new traffic light intersection planned outside the entrance to the course. Two lanes on McKay street and on Balch as well, for better access to the Middle School. Only effect to the course is where traffic light will be located. Committee is in possession of the drawings and reviewed plans for the new plans. When the project happens, we may get a new hot top surface in the maintenance area.. The veranda resurfacing has not been completed. The vendor has been nonresponsive. David Gellineau will work on this and find another vendor if we don't get resolution. Tennis: Received the design cost from White Engineering to replace the water pipes down the center of the courts. Golf Updates — GFMI: XGD Systems provided a draining proposal for 5 holes. Quote is $47K. Steve Murphy is hoping to get green #2 done at the least. Was asked to requote the 5 greens. There is a savings in doing all 5 greens, but recommends the second green be done first, until the contract is settled. The company is already in the area and can complete the work. It doesn't make sense to have them do 2 -3 holes, then come back to do more. The five greens identified are #2, 4, 5, 6 and 17. Steve Murphy said he has committed to have them do #2, and is looking at about $ l OK. Martin Lawler agreed since we have committed to #2, let's complete it and do the rest later when we have the funding. Will work with Bryant Ayles on advising going forward with the #2 green, and how to get approval for the remainder to do the rest of the work. Arthur Athanas: Motion to go forward with the work for green #2 understanding the $I OK is approved. Martin Lawler seconded. The motion carries (4 -0). GFMI Chris Carter advised we've had two good quality months and are ahead of the previous year in rounds. Hoping for a 5% increase over last year. The revenue report also shows we are better this year, over last year, and still have some time to go. Memberships are down slightly. This is due to the membership aging, and some members have started phasing out. GFMI is trying to recruit; picked up 6 new members in the membership drive. Chris Carter thanked the city for their help with replacing roof fan vent and dishwasher repair In time to hold the upcoming event. Additional Work: Electrical work that needs to be done with 25 lights; approval given to work with GFMI electrician, budget at $2600... Replacing 15 LED lights in the bar, kitchen, office and upstairs kitchen. The work will be done within the next two weeks, and before the tours for the Management Contract RFP begins.
