Public Meeting Minutes

Joanne Panunzio, Myron Schirer -Suter
Board members absent: Marshall Handly, Kevin O'Reilly
Others present: Anna Langstaff, Allison Babin

Joanne Panunzio presided. Joanne stated that the meeting was being recorded.
Margaret Altman made the motion, seconded by Mary Behrle, to accept the minutes of the
regular meeting of May 30, 2019. Motion passed.
Public Presentation
None.
Committee Reports
Personnel: Joanne Panunzio reported that the Director's evaluation has been completed and
reviewed with the Director. Joanne Panunzio will email the evaluation to Mayor Cahill.
Administration: No report.
Finance: No report.
Long Range Planning: No report.
Report of the Library Director
1) Budget Fiscal Year 2019: On track.
2) Budget Fiscal Year 2020: The final vote on the proposed budget is Thursday, June 20.
3) Building Issues: The heating, ventilation, and air conditioning (HVAC) system is still only
working at half capacity. Money has been encumbered for an engineering company to do a study
on completely redoing the system for some time. The Department of Public Services will be
working with Daikon (acquired the original company who installed the library's system) next
week. On Friday, June 21, the main library will not have water service for approximately four
hours due to water valves being changed. The sprinkler system will be off. Anna Langstaff
talked to Bruce Doig, Kevin Harutunian, the fire department, and is waiting to hear from the
health department. Signs will be posted to notify the public. Construction on Cabot Street has
made it difficult for patrons to visit the library. Fines will be waived through June 30.
4) Personnel: The Library Assistant (Outreach) in the Bookmobile Department was promoted at
another job and has resigned. The position has been posted.
5) Community engagement: The library staff's visit to Holcroft Park to promote summer reading
has been postponed until July 11 due to rain. Anna Langstaff and Allison Babin attended the
Lawn Party at the Farms Branch. Anna Langstaff is meeting with Councilor Julie Flowers on
Thursday, June 20. On Friday, June 21, Allison Babin will meet with a Census representative.
The Communications Department has produced a beautiful, comprehensive brochure of all
summer programs at the library; a few highlights include the Moon Landing 50 Anniversary
Party, Summer Sounds concerts, a Cheese Tasting, Rev Up with Robots programs for kids and
teens (brought to us with federal funds), and more. The Adult Summer Reading challenge is
available in print and the Beanstack Tracker app.
6) North of Boston Library Exchange (NOBLE): The network is now using a new web -based
release of Evergreen. Janice Shaw, Head of Circulation, did a great job of providing one -on -one
training to the library staff. NOBLE is working on an app for Evergreen. Northern Essex
Community College will be leaving NOBLE in June 2020, which will result in a higher
assessment for member libraries.
7) Trustee appointment: There are no updates to report on the appointment of the vacant Trustee
seat. Cathryn O'Hare has not heard anything.

1. Acceptable Use Policy: Library Trustees reviewed the current Acceptable Use Policy. Myron
Schirer Suter made the motion, seconded by Colleen Michaels, to:
approve the Acceptable Use Policy. Motion passed.
2. Internet Use Policy: Library Trustees reviewed the current Internet Use Policy. Anna
Langstaff and Allison Babin shared that this policy has been working well. Colleen Michaels
made the motion, seconded by Margaret Altman, to:
approve the Internet Use Policy. Motion passed.
3. Security Policy: Library Trustees reviewed the current Security Policy. Anna Langstaff and
Allison shared that this policy has been working well. Mary Behrle made the motion, seconded
by Myron Schirer- Suter, to:
approve the Security Policy. Motion passed.
The next meeting of the board will be Tuesday, September 24, 2019 at 6:OOPM at the Beverly
Public Library.
There being no further business, the meeting was adjourned at 6:55PM.
