Meeting Minutes

Meeting called to order: 12:30pm
Secretary's Report: Minutes were accepted as written from the April meeting.
VOTE: Chairperson, Claire Marie Hart asked for a motion to change the order of the agenda so
that the FY'20 Budget could be presented. All voted in favor of this.
FY'20 Budget Presentation:
Director MaryAnn Holak — reviewed the budget drivers and the case for making both the
Outreach Coordinator and the Senior Clerk positions full -time. Mary Ann has met with the
Mayor regarding changing the COA senior clerk position from a part -time to a full -time position.
Also, the need for additional hours for the Outreach Coordinator position. Distributed to the
Board was a Rationale and Justification statement for the need of a full time Senior Clerk.
MaryAnn is hopeful this request will make it through the next round of budget discussions.
Assistant Director Samatha Kossow gave an in -depth report to the board on the changing
demographics of the city's senior population. Ages under 15 decreases, while the over 65
population has risen and will continue to rise. Project that the future by the year 2030 an
increase of 20 %. These numbers will affect the COA service delivery. Currently, just in the past
20 months we have seen an increase of 1,000 members. That is an increase of 55 seniors each
month.
Bruce Discussed the Club 55 golf leagues.
Director's Report:
Building Concerns and Usage
Master Plan kick off meeting to be held on May 14 6:30 to 8 pm in the main hall.
Working on an installation plan for the Memorial Benches.
City Benefits fair will be held in the main hall on May 8 from 10 am to 4 pm.
Chip will schedule carpet and floor repairs; monies are coming from the formula grant for their
completion.
Plant Sale is May 18 hosted by the Friendly Garden Club of Beverly, 9 am to noon.
Administration and Finance
Budget reviewed.
FY'2020 budget planning is underway.
Small Title III Grant application for five thousand dollars is due to Senior Care by May 16 We
plan on applying once again for the Grant.
A suggestion from the Board to look into another way for seniors to ride with the
Center. A meeting with the seniors that use our transportation services to look into monthly
ridership passes as well as the day passes. Mary Ann will follow up on this.
Programs and Events
May is Older Americans Month
Human Rights Committee Meeting May 2n 9:30 to 11:00 a.m.
Mother's Day Party will be held on May 9 1h 10:00 am to Noon. Concert by the Northshore men
and a Luncheon all mothers are welcome.
Forever Young Chorus from the Peabody COA" Back to the 40's show" Light refreshments May
14 10:00 to 11:00 am.
Friendly Poetry and Prose led by poet Ray Whittier and writer Barrie Levine. Come listen and /or
share a favorite poem! May 20 10:00 to 11:00 am.
50's and 60's Dance Party and cookout with DJ Alan Labella May 23r 4:00 to 6:30 pm.
Memorial Day Concert and luncheon with the Singing trooper. May 30 10:00 am to noon.
We are looking to expand the Bootstraps, Mobile Market to a year -round event.
Currently serving over one hundred seniors.
End of Life Planning Series coming in June more information to follow.
AARP will be sponsoring a Shredding Day June 1S five box limit.
Meetings /Activities Clients
The staff visited a senior in a Gloucester Nursing home with a plant.
Board Training rescheduled for September additional information will be provided.

Workshop on environmental issue at the Beverly Golf and Tennis.
Staff Training on Creating a Respectful Workplace will take place.
Personnel Updates
Part -time Outreach coordinator position has been filled by Meagan Riche.
We are still seeking a Transportation Coordinator.
The part -time seasonal activities assistant posted the week of May 6tn
Scholarship Committee approved four scholarships.
Awards Committee approved the Nomination forms for Senior Day in the Park.
Samatha helped to set up the projector so we could view a short film made by the Beverly Rotary
Club. Some of the club's members talked about the many things that the Rotary has done for the
Beverly Community, including the Senior Center. From city wide clean ups, to providing and
serving ice cream at our Senior Day at the Park, scholarships to deserving BHS grads and so
many other things. We are fortunate in Beverly to have the Rotary Club in our City.
