Opening Remarks:
Bill Lowd called the meeting to order at 7:10 pm.
Bill Lowd advised to review the minutes from the December 11, 2018 meeting.
Motion to approve the minutes of December 11, Martin Lawler, seconded by Arthur Athanas.
The motion carries (5 -0)
Financial Update Report:
Martin Lawler provided a financial update. Bills paid were to GFMI for course Drill & Fill
Project, final Porty -party, fire alarm inspection.
BG &T Site Proiect Updates:
CPC — Round 4, Heating Systems Status:
All heaters are installed; there are now 8 zones in the building. Preparing the Final Report for
CPC, format to be reviewed with Amy Maxner, anticipating it to be a follow on to the Interim
Report and will include the additional radiators that have been installed since the interim report.
The financial report will include all invoices for the $89,000 appropriated in the MOU for this
Round 4 CPC Project. A copy of the City Permit will also be included.
CPC — Round 5, Update on the GALE Report Project:
Dave Gelineau said the city is to hire an OPM and Architect; the OPM RFP should be ready
soon. Chad and Bill will spearhead a sub committee for this project, anticipated to be in process
by February. Architect RFP will follow, with assistance from the OPM. City is aware the
estimated construction cost is approx. $5 Mil.
ADA — MAAB: (Due May
• Rob Dever will get a cost estimate from "Secure Lock" to install the push- button door
opener to satisfy the open item regarding the fire door operation from the foyer.
• Open item regarding the Handicap toilet facility off the men's locker room will be looked
at for moving the activity earlier in the construction phase of the Round 5 Project.

Golf Course Review:
Phase 1:
TREE Project: Maps created with the City Arborist to identify which trees are within a 200 ft of
a wet lands buffer zone, estimating 12 trees. These will need to be approved by the Conservation
Commission at their next meeting on January 10.
Final tree removal schedule of the 60 -70 trees with Dodge Tree Co. to be set up. These hazardous
trees have been marked with red ribbon tape bands.
Phase 2:
Sub Commirttee will pull together a grouping of actions outlined in the master proposal to
identify tasks for best price value consideration. Need to be careful of rounds vs construction for
members to play.
Andy suggested we think about putting in a bunker at the practice area.
GFMI Report — Chris Carter reviewed the Rounds report and stated 2018 was the worst in 9
years mainly due to weather conditions. Chris highlighted the bathroom facility in the Men's
locker room as the highest complaint from the members. Chris noted that 2019 will be the last
year of their current contract and are looking forward in their thinking going into a next potential
contract. Hoping for a dry year 2019 and are bringing equipment in to prepare for the year
At the next meeting, Commission needs to discuss rates for the upcoming season and prepare for
the 2020 season.
Cooler in the bar area adjoining the Great Room needs to be replaced. Estimate cost at $1792
including removal, motion made and approved to purchase the cooler (5 -0).
Chris announced that Lisa Meoli has been retained as the Clubhouse Manager going forward
with Chris' assistance — 2019. First contract installment for 2019 has been sent to the City of
Beverly.
Dan Anastas has been practicing using the WiFi System, expecting some water issues for 2019
with high content of contamination seen in the June testing. Landing area on hole #18 to be
looked at to see if pipe under the road may need to be cleaned to alleviate the water in this area.
Rob to organize this.
Pro Shop has been closed and the members have been asked not to use the course.
Tennis Courts Needs a design proposal of the watering system from Rainbird.
Misc: Request from Manchester Fire Dept for donation of extra lockers in the clubhouse
basement. Motion made, seconded, and approved (5 -0) up to 10 units. They will remove them.
