Minutes February 5 2019Beverly Council on Aging Board of Directors Meeting Minutes Date: Place: Members Present Staff Present: Meeting Called to Order: February 5, 2019 Beverly Council on Aging Senior Community Center Claire -Marie Hart, Bob Hobbs, Jessica Wistran, Esquire, Susan Feeney MaryAnn Holak 2:40 pm by Claire -Marie Hart, Co- Chairperson Secretary's Report: Minutes were accepted as written from the January 8, 2019 meeting. Director's Report Building Concerns and Usage Congressman Moulton met with 23 COA Directors at the BCOA on January 8; Directors expressed their concerns about the federal budget for programs for Older Adults and also made the point that the cities and towns budgets for COA services was very small in comparison to other service areas. MCOA staff hosted a meeting at BCOA for Activities and Wellness Coordinators on January 30 which was well attended. Custodial staff worked overtime on January 19 and 20 for snow removal activities Chip was able to configure the conference room so that 3 tax preparers could work, which opened up more appointments for Beverly seniors to have their taxes prepared Carpet in upstairs hall is loose and floor underneath is cracked. Bass River flooring to give an estimate to repair. The Senior Center will be closed on February 18 for Presidents Day. The light post in back parking lot is still not repaired. Administration and Finance MaryAnn reviewed the budget and told Board that Mayor Cahill had requested belt tightening through fiscal year end. We will realize some savings from the temporary vacancies in staff positions. Enterprise fund expenses are ahead of revenues YTD. MCOA has voted to raise dues in next fiscal year. About a $327 increase for us. Wall of Fame has been redone to accommodate all the names from our 2017 event. Harrington Trophies in Lynn did a great job for us. Formula grant funding has not been received by the city as of today. The Annual Report for the Dept. of Transportation was submitted on time 1/31/19. MaryAnn submitted her annual self - evaluation to Bruce Doig on 1/16/19/ Programs and Events Activities Coordinator is planning for a Red Sox Talk with Dick Flavin and Billy Conigliaro on February 12, 2019 The Mobile Market with Bootstraps is going well Senior Soiree was well attended and successful. We spent $600 more than we made of this event. A few more sponsors were needed. Larcom Theatre is offering 2 for 1 tickets to their Valentine's Day play for couples married 50 years or more. They promoted this event during one of the Tuesday band days. Casino trip goers will continue to park and be picked up at Beverly High (tennis court lot). The cost of the trips have increased and the extra cost will be passed on the trip goers. Meetings /Activities Clients MaryAnn told us that there were 14 clients of concern just on Monday and Tuesday of this week. The Social worker and social work intern are working on these cases together. Patti, Gail and MaryAnn have been meeting with the Senior Care nutrition program coordinator and our new onsite manager Beth Walsh to discuss ways to improve and streamline service. The Elder at Risk Task Force met and Dr. Beverly Dolinsky, Endicott College who has just finished a book on elder abuse was the guest speaker. Staff have begun meeting to plan Older Americans Month. MaryAnn met with NSCAP staff to discuss snow shoveling for homecare clients in Beverly. She will ask Bonaloop Directors if they could fill this need. MaryAnn and Meagan Riche will be attending "Match Day" at Merrimack to interview Fellow candidates for next year. Personnel Updates MaryAnn reported that interviews are underway for the Assistant Director vacancy as well as for the Outreach Coordinator vacancy. Bill Brewer is retiring and a retirement party will be held on February 27 his last day of work. Greg Wilson has accepted a full -time position, his last day was January 18. Jessica Waggett last day was January 4 Blair Smith is supervising our new Gordon College social work intern who is here for the spring semester on M, T, W and Friday's. Committee Meetings The Scholarship Committee approved on application and Blair Smith will follow through with the senior who applied. The Awards Committee did not meet. Old Business Seniorcare Valentine's Day Breakfast conflicts with the Breakfast Club meeting on the same day and time. We will miss the Seniorcare event this year. Strategic Plan — implementation of some action steps have been slowed down due to staff transition. We have already achieved some of the action steps including now having public WI- FI. Claire -Marie Hart will invite Julie Flowers to an upcoming Board meeting, which is an action step for the Board goal in the strategic plan New Business Susan Feeney suggested that staff consider changing the format of the 50150 raffle held during special events. 1 ticket for $2.00 and 3 tickets for $5.00.
