11DEC Meeting MinutesNOTES of MEETING MINUTES Board: Golf and Tennis Commission Date: December 11, 2018 Location: Beverly Golf and Tennis Clubhouse, Fireplace Room Members Present: Chair William Lowd, Vice Chair Martin Lawler, Andy Cooper, Chad Crandell, Arthur Athanas, Kevin Ascolillo Others Present: GFMI Staff — Steve Murphy, Chris Carter, Dave Dionne, City of Beverly, Purchasing: David Gelineau Department of Recreation: Bruce Doig Recorder: Donna Musumeci Opening Remarks: Bill Lowd called the meeting to order at 7:05pm. Meeting minutes November 13, 2018 Bill Lowd advised to review the minutes from the November 13, 2018 meeting Bill Lowd: Motion to approve the minutes of November 13, Martin Lawler seconded. The motion carries (6 -0) Financial Update Report: Martin Lawler provided a financial update. Bills paid were Allstate Fire Inspection, Porter Potty, and Clubhouse boiler inspections. BG &T Site Proiect Updates: CPC — Round 4, Heating Systems Status: All heaters are installed; there are now 8 zones in the building. Dave Gelineau spoke about the work done by the Beverly City employees. Mike Parker, John Gagnon, and Dan Callahan for installing all the heaters, radiators and thermostats. System was divided into 8 zones, 3 on the first floor, 2 on the second floor, 1 in the attic, 1 in the bar, and 1 in the basement. Last 2 new radiators to be installed on the N & S baseboards in the Great Room. CPC — Round 5, Update on the GALE Report Project: Dave Gelineau said the city is to hire an OPM and architect; they are close to issuing RFP's. Golf Course Review: GFMI Report — Dave Dionne spoke for Chris Carter. November was a tough month with 600 rounds, the lowest in 9 years, rain was the big contributor, and unfortunately, cut into the bottom line. There was revenue in memberships, green fees, the pro shop and the 19 hole. Year end report sub mitted to Director of Finance, Bryant Ayles. 1 Course Tree Work Dan Anastas reported the results of 3 replies to an RFP, Dodge Tree was the lowest bidder. Work will begin as soon as the ground is frozen enough to support the trucks. Martin Lawler: Motion to recommend the tree work awarded to Dodge Tree, Kevin Ascolillo seconded. The motion carries (6 -0) Bill Lowd and Dan Anastas showed Amy Maxner that some trees were close to wetlands and she advised to put together, a "Request for Deferment of Applicability" Report. This will be required and submitted to the Conservation Commission by the day after Christmas, and could be approved by their next meeting on 1/10/19. Most of the trees that fit into this category are on the front 9 hole side. Dodge tree work could begin on the back 9 hole side if possible. Golf Course — Mungeam report - Bill Lowd did a highlite review with slides, prefacing with Hole number 1 that suggested moving the green. Other suggestions were: • Moving / expanding tees • Moving cart paths • Reworking and removing some bunkers • Address drainage issues • Drain the swamp on holes 12 / 13 Bill asked what should be done next that is on the plan. Trees are the first hurdle. Andy suggested we think about putting in a bunker at the practice area. Bill will distribute the Mungeam Course map to the sub - committee to assist in prioritizing the plan Adjournment Martin Lawler: Motion to adjourn the meeting, Andy Cooper seconded.
