Opening Remarks:
Bill Lowd called the meeting to order at 7:05pm.
Meeting minutes September 18, 2018 Meeting
Bill Lowd advised to review the minutes from the September 18, 2018
Martin Lawler: Motion to approve the minutes of September 18, Arthur Athanas
seconded. The motion carries (5 -0)
October 16, 2018 No quorum for the meeting, no need to vote on notes of meeting. Removed the
adjournment for the October meeting and meeting will be considered submitted as notes / info.
Financial Update Report
Martin Lawler provided the financial update.
Design Services — Golf Course Proposal
The only bill paid in was to M. Mungeam for
Reviewed available funds in 2019 budget. Commission requested Mr. Ayles to advise the
balance in the carryover fund.
BG &T Site Proiect Updates:
CPC — Round 4, Heating Systems Status
All radiators have been installed with the exception of those in the attic, there are now 8 zones
of heat in the building. Two boilers are wired in and working. Chris Carter noted they did a good
job (thanks went to Mike Park and John Gagnon and Dan Callahan). There is less noise now and
no pipe banging.
There is minimal equipment left to be ordered to finish up. Balance of funding should be
sufficient to cover what is needed. With the 3 month extension until 1/31/19, the project is
expected to be complete on this schedule.
CPC — Round 5, Update on the GALE Report Project
RFP for OPM in process, then Architect RFP to be developed. David Gelineau advised the OPM
piece RFP is moving along, draft by Mark Mungeam is all inclusive and almost ready to go out.
Golf Course Review
Mark Mungeam continues to develop the course master plan — in process
Steve Murphy met with Mark Mungeam on the golf course, there are trees to be cut down and
drainage to be done for the greens. Trees — there are around 60 trees (Bill Lowd counted 68 trees
plus willow trees). Steve Murphy suggested to bid it out rather than piece mail it.
Suggestion also made to have Amy Maxner (City Planning Dept.) come out to look at the
marked trees.
Steve Murphy said with all the rain since August, there are issues showing up with the greens.
Work to be done:
Need to drill columns on the greens.
Later trench in the green and put a pipe into the drains for every hole, drill and fill with
sand, greens noted to be done include 2,4,5,6,7,16,17.
All holes should be priced by the sf.
Drainage and drill and fill will cost approximately $I OK; Chris Carter would like to complete
before Christmas.
Martin Lawler: Motion to spend up to $ l OK to complete the drain and fill work,
Arthur Athanas seconded. The motion carries (5 -0)
Tree Removal on Course:
Between now and the next meeting, chances are the ground will not be frozen solid. David
Gelineau advised need to get three quotes to do a bid for the tree work. Dan Anastas to pursue
Mayer, Dodge, Iron Tree and one additional from City List. At the December meeting, expect to
be able to review the Golf Course Report complete with pricing.
Maintenance Building — Build out: Hot water and lights are in
ADAitems: MAAB approved the extension for men's locker room — install a handicap stall,
install button on the doorway to open the fire door on first floor, have until 5/1/20 to complete.
Will revisit the plan, draft priorities and pricing on this at the December meeting.
GFMI Report
Chris Carter advised most dismal fall in his career. There were 2,366 rounds in October; down
10 %, will probably end at 30,000 rounds for the year, end of year results mainly blamed on
weather. GFMI looking for a new bar manager for spring of 2019, there are a few functions in
November, then done for the year.
Will be looking to get a few new refrigerators, approximately $1500 a piece; commission will
replace right away (one for upstairs, one for downstairs; will wait to put this out to vote for the
next meeting.
Dave Dionne advised that for the end of the year event, employee outing, was nice and
successful, members using up credits, mostly on merchandise.
Other discussions:
Suggestion was made to break out some projects while waiting for the master plan; finish the tree
and drain work, look at piping for down the middle of the tennis court, need to get a design.
Bill Lowd advised to add tennis court irrigation to the future project list.
The December meeting and get together, will be held December 11, 2018. Other names
mentioned to attend the meeting should include Mike Parker, John Gagnon, Dan Callahan and
Amy Maxner.
