Sept 2018 MinutesBeverly Council on Aging Board of Directors Meeting Minutes Date: September 5, 2018 Place: BCOA Members Present: Claire -Marie Hart, Bob Hobbs, Cynthia Montalbano, Jessica Wistran, Esquire Staff Present: MaryAnn Holak, Jessica Waggett, Meaghan Riche Meeting called to order: 2:40 pm Secretary's Report: Minutes were accepted as written from the August meeting. The BCOA board received a Thank You note from Patti Rice for the gift certificate. Claire -Marie read an announcement from Glovsky & Glovsky Law firm regarding Jessica Wistran becoming a partner in the Law firm. Congratulations to Jessica. Director's Report Building Concerns and Usage The Chief of Staff is hosting an Information Session at the Senior Center on September 10 in an effort to attract people interested in being part -time parking enforcement officers as the City will be installing new meters downtown in November. The exterior doors will be scraped, primed and painted this fall. The heat pumps have been replaced. New fixtures for windows are in, Mike Bouchard will arrange for a crew to help Chip replace the hinges on the windows. Central Vac motor was replaced. It has been in service for twenty -six years. Public Y Fi and Comcast are under consideration for the Center, with Bryant Ayles, Finance Director. Administration and Finance YTD Budget review, 18.7% of the budget has been spent, June through August. The Finance Director stated that heating bills be beyond our budget will be paid by the City. Formula Grant is $98,000, ninety -eight thousand or $12 per 8189 people over 60 living in Beverly at the time of the 2010 Census. MaryAnn hopes to ask Mayor Cahill for a Market adjustment in salaries for the Director and Assistant Director and utilize the increase in funding in the Formula Grant to cover those costs. Claire -Marie Hart offered to attend the meeting with Mayor Cahill, once it is scheduled. Jessica met with the Senior Care, Inc. for the Title III annual site visit. It was held on August 29 2018, she reported that we comply with all of the requirements. Salem COA Ribbon Cutting event for the new senior center will be held on Friday, September 21 at 4p.m. The new "Community Life Center" 401 Bridge Street in Salem, Ma. Invitation sent from Mayor Kim Driscoll. Also an Open House on Saturday, September 22 from 1 -5p.m. MaryAnn invited Board members and asked we let her know if we wanted to attend so she could RSVP for us. Program and Events September 11 9 -11 am National Day of Remembrance Pancake Breakfast, cost is a $2.00 donation. September 17 11 -2pm Senior Charlie Card Day with Senator Lovely and Rep Parisella September 20 10- 12:OOpm cost is $2.00, Senior Center Month BBQ Lunch September 27 10:00 to 11:00 am Coffee Hour with the Director, Mary Ann Holak. Conversations ideas and feedback from seniors. Learn about all the services that the center offers. In order to encourage seniors to sign into "my Senior Center" a raffle will be held each week. Meetings /Activities /Clients Awards Committee did not meet. Scholarship Committee awarded three scholarships two air conditioners, one for a writing conference. Outreach activity - mailings went out to 1,600 September newsletters to 65 -70- year -old seniors that are not currently visiting the Senior Center. Distribution of seventy- seven, Farmers Market coupons. September 7 10-11 am The Grandparent's Raising Grandchildren, Support Group will meet every first Friday. Please contact Blair Smith, LICSW, with questions @ 978 -921 -6017. Advance sign up is needed. September 12 MCOA Dementia and Age Friendly grantee meeting in Milford, Jessica will attend. September 21 At Risk Task Force is meeting. Meaghan Riche, Community Engagement Fellow addressed the board on some of her activities since she has joined the staff. BCOA will be taking part in a Beverly Main Street Cultural Grant Sculpture Work shop this fall. Personnel Updates Merrimack Fellow, Meagan Riche, started at the center on August 20. Salem State University BSW intern, Lexi Kovach starting September 10. A Temporary schedule change is in effect for two employees. The Director will be on vacation from September 12 -14. Unfinished Business Completed purchase order for two new benches for the back entrance.
