June MinutesBeverly Council on Aging Board of Directors Meeting Minutes Date: June 5, 2018 Place: Beverly Council on Aging Senior Community Center Members Present: Claire -Marie Hart, Bob Hobbs, Jessica Wistran, Esquire, Annie Horrigan, Susan Feeney Staff Present: Mary Ann Holak, BCOA Director; Jessica Waggett , BCOA Assistant Director Meeting Galled to Order: 2:30pm Claire -Marie Hart, Co- Chairperson Secretary's Report: Minutes accepted as written with the following changes: Date of UMASS Boston presentation occurred on May 8, not May 2 as reported; that meeting was called to order at 2:30prn, not 12pm as noted Director's Report Building Concerns and Usage Garden Club Plant Sale held on May 19, went very well Public Hearing scheduled for June 7 at 6:30pm was cancelled; await rescheduling date Gale Associates Report to be discussed at June 20 meeting Administration and Finance Y1 1) Budget - Reviewed FY '19 I3udget Presentation to City Council at City Hall to be rescheduled Formula Grant recently approved by legislature; increases available FY `19 funds for 8,189 city seniors from $9.70 /senior to $11 /senior plus adds an additional $ llsenior to the Elder Mental Health Fund Strategic Planning session set for June 12 from 11:30am to 4pm at Carriage House at Lynch Park Programs and Events Girl Scout Tea with Seniors is scheduled for June 7 NCOA Aging Mastery Program graduation scheduled for June 14 Program completed by sixteen (16) seniors Honoring Choices - training and upcoming event Pizza and Proxy scheduled for June 21 Healthy Brain Expo was very well received; approximately 100 guests Memorial Day Program with Singing Trooper on May 29 - attendance at capacity, very successful entertainment and luncheon Strategic Planning session set for June 12 from 11:30am to 4pm at Carriage House at Lynch Park; members present encouraged Director to invite Mayor and City Council to attend final session of meeting for su nmation Rabies Clinic scheduled for June 14 World Elder Abuse Awareness Day on June 15, gam to noon at City Hall; All are encouraged to stop by and hold a sign supporting program Shredding Day occurred on June 2 with 201 cars dropping off papers to be shredded Senior Day in the Park scheduled for August 2; staff and volunteers coordinating this major annual event; Patti Rice presented Board members with sample of gift to be given to 500 Seniors at event Meetings /Activities /Clients At Risk Task force to meet Friday, June 8 Clients of Concern - Prior concern addressed without recurrence to date Personnel Updates Bus Driver is still out on unpaid leave; temporary driver to fill in starting June 25 Transportation Staff - annual' training scheduled for April, May, June Leanna Johnson to fill the seasonal position of Activities Assistant, working primarily with Patti Rice, Activities Coordinator Still no word on First Jobs student for the summer Committee Reports Schol4ars1iip - No meeting today Awards - Senior of the Year nomination forms were included in May Newsletter; 5 nominations received to date; final date for submitting nominees is June 8; the Awards Committee will meet Monday, June 18, at I Oam to determine review all nominations and prepare for voting at next Board meeting. Old Business Center received funding to hire consultant Bernadette Orr to help develop a Strategic Plan from the Needs Assessment data; all members received copies; encouraged to review report, especially the needs summation, and prioritize needs in anticipation of upcoming Strategic Planning Session L!nfinished Business It was noted that the Strategic Plan, although quite comprehensive, did not specifically address needs of the LGBTQ community; this issue will be raised at upcoming Strategic Planning Session Grant proposal to Mass DOT for new vehicle due this month New Business Policy regarding politicians seeking citizen signatures at the Senior Center was reviewed and approved as written Announcements Board member, Annie Horrigan, is nearing completion of another three (3) year term; replacement will be sought as Annie declines reappointment; many thanks to Ms. Horrigan for her years of service Adjournment - 3:25pm Bate of Next Meeting June 26, 2018 at 2:30pm Respectfully Submitted Susan I Feeney, Member Beverly Council on Aging Board of Directors Meeting Minutes Date: Place: Members Present: Staff Present: Meeting Called to Order Secretary's Report Minutes: Director's Report: June 26, 2018 Beverly Council on Aging Senior Community Center Bob Hobbs, Cynthia Montalbano, Claire -Marie Hart, Jessica Wistran, Esquire, Susan Feeney MaryAnn Holak 2.40 p.m. Claire -Marie Co- Chairperson Minutes from the June 5, 2018 meeting will be approved at the August 7, 2018 meeting Administration and Finance Programs and Events Community Meeting will take place on the disposition of Briscoe in the main hall at 6:30 pm this evening. Mary Ann discussed her "Wish List" for space at Briscoe with the board. Mary Ann will be unable to attend, board member Susan Feeney will be attending the meeting noting some of the items from the Directors "Wish List." Last day of Kiosk sponsored by GLSS and Seniorcare will be on June 28 as the 5 year funding cycle has ended. The Mobile Food Market which was so well attended and a great success will end its run on June 28 as funding as Bootstraps has not been able to identify a source of funding to continue. The YTD Budget — FY' 18 year end will be reviewed at the August Board Meeting. Rabies Clinic was held on June 14 in collaboration with the Animal Control Officer for the city World Elder Abuse Awareness Day Held on June 15 at City Hall green. Well attended and organized by the police dept. and Seniorcare, Inc. Meetings /Activities /Clients Personnel Updates Committees: Scholarships Awards Old Business Ncti� rosiness Adjournment Respectfully Submitted A discussion was held on Client of Concern and how staff are helping Strategic Planning — upcoming staff meeting to take place on July 11"' from 10 to noon. An invitation to attend the meeting was extended to the Mayor and the BOD. Bus driver is still out on leave. Substitute driver starts on June 26th. Three were approved. 1) Partial funding for tires, 2) Fridge repairs, and 3) Partial funding for a trip Committee presented nominations for discussion by the full board to vote for "Senior of the Year ". Patti Rice attended the BOD meeting with work schedules for Board Member volunteers for Senior Day in the Park. Senior of the Year was selected Nominations: Slate of Officers for the BOD was offered and will be voted on at the August 7 meeting.
