Place: Beverly Public Library Board members present: Margaret Altman, Mary Behrle, Marshall Handly, Ivy Mahan, Kevin O'Reilly, Joanne Panunzio, Myron Schirer -Suter Board members absent: Anthony Kline Others present: Anna Langstaff, Allison Babin Recorder: Allison Babin Kevin O'Reilly presided. Kevin O'Reilly made the motion, seconded by Joanne Panunzio, to accept the minutes, as amended, of the regular meeting of February 27, 2018. Motion passed. Public Presentation None Committee Reports Personnel: Joanne Panunzio will be emailing evaluation surveys for the Library Director to department heads. Administration: No report. Finance: No report. Long Range Planning: No report. Report of the Library Director 1) FY2018 Budget: On track, with a few noted exceptions. 2) FY2019 Budget: Anna Langstaff reviewed the proposed budget for FY2019. Anna Langstaff presented a draft of the budget to the Mayor and City Finance Director on April 23. The proposed budget includes adding five additional hours per week for the Children's Room and four additional hours per week for outreach (Bookmobile). The Mayor said the capstone repair would be completed in calendar year 2018. 3) Personnel: Susan Innocenti, Senior Library Assistant (Technical Services), is retiring. Robin Flynn, Head of Communications, has resigned. They will both be greatly missed. Katie Nelson was nominated for the Massachusetts Library Association's award for Outstanding Library Support Staff. On April 17, 2018, a full time staff meeting was conducted with a brainstorming exercise on customer service. On May 4, 2018, a customer service workshop is being held for all staff. 4) Building issues: The fire alarm panel was replaced at a cost of $13,000. 5) Security: An Active Shooter drill conducted by Beverly Police was held on Friday, April 13, 2018. The police received a grant to fund a social worker position who will be working in Beverly three days a week. The library may provide office space to the social worker, which would be mutually beneficial as the social worker could provide the library staff with assistance in escalating solutions, as well as provide onsite outreach to individuals in need of social services. The police arrested a man for lewdness on the third floor. The individual was served with a six -month no trespass letter. 6) No update on the appointment of Colleen Michaels as Library Trustee. 7) Weather: The library was closed on Tuesday, March 13, 2018 and had a delayed opening on Wednesday, March 14, 2018, due to the blizzard. 8) Union negotiations have not yet started. 9) Library Legislative Day: Anna Langstaff and Allison Babin attended Library Legislative Day on March 6, 2018 at the State House to advocate for library funding. Allison and Anna met with Representative Jerry Parisella and an aide to Joan Lovely. 10) Several librarians took a field trip to Historic Beverly to view their collection. 11) The Volunteer Appreciation Tea will be held on Tuesday, May 1 from 3- 4:30pm. 12) Cell phone usage: Short, quiet cell phone conversations will soon be permitted on the first and second floors. The third floor will remain a quiet study floor with no cell phones allowed. 13) Memorial services: A recent request to hold a memorial service at the library was discussed. It was decided that, in keeping with the meeting room policy, memorial services will not be permitted in meeting rooms. 14) Anna Langstaff met with a patron concerned about violent video games and behavior in the Children's Room. 15) Allison Babin shared library program highlights: Book Crafts on May 17; Cookbook Club launching on May 31; Italian Summer Film Series in May, June and July; two -part series on Google Suite on May 9 and May 16; Children's Room: story times, LEGO build, Reading with Coco, and Science Squad; Annual Library Lawn Party at the Farms on June 2; and highlights from the 22nd Annual Teen Poetry Contest. Communications Letter from MBLC regarding state aid monies. Unfinished Business None. New Rn6ness 1. The Assistant Director's Contract was discussed. 2. Trust funds were reviewed and discussed. The next meeting of the board will be Tuesday, May 22, 2018 at 6:OOPM at the Beverly Public Library. There being no further business, the meeting was adjourned at 7:40PM.
