December 2017 Board MinutesBeverly Council on Aging Board of Directors Meeting Minutes Date: December 5, 2017 Place: Beverly Council on Aging Senior Community Center Members Present: Bob Hobbs, Claire -Marie Hart, Jessica Wistran, Esquire Staff Present: MaryAnn Holak, Jessica Waggett Guest Present: Sara Barnum, Nurse from Beverly Hospital Meeting Called to Order: 2:40 pm by Claire -Marie Hart, Co- chairperson Welcome Claire -Marie Hart would like to start with thanks to MaryAnn and staff for 25 Anniversary success, each event was so well done. Secretary's Report November notes accepted as written. Director's Report Building Concerns and Usage Police Dept. annual family Christmas Party on Dec 1st and 2nd Police City Advisory Committee Meeting- Chip received overtime Planning Department- Chip received overtime Recreation Department using building Mon & Wed through mid - December Friendly Garden Club donated 2 wreaths and donated 2 tickets to their event MaryAnn followed up with Mike Collins, DPS, regarding the Gale Associates report as we will need this should there be any capital expense requests needed. Mr. Collins will follow up Administration and Finance All Budgets discussed City General Fund- Longevity checks went out. Vehicle maintenance is a line item to watch as costs of repairs increase as vehicles age. Elder Affairs /Formula Grant- funding per senior reduced from $1Opp to $9.70pp. We have not yet received funds for this fiscal year. 5K for UMass survey will come out of this budget. Enterprise Fund- to date we have 38.9% of revenue expected. 26K in Revenue/ 32.6K in Expenses. In past years we have had Bryant Ayles, Finance, come to a Board meeting to review free cash available in this fund. Programs and Events Breakfast Club is here 12/14 12/14 Senior Holiday Party 12/12 @ 10am Briscoe Band preforming, new music director 12/13 Coffee Hour with Library Director Wrapped up Silver Anniversary Events- 5 in total • Open House- 200+ guests, demos of each exercise class • Veteran's Breakfast- 100+ guests, breakfast prepared by chefs from RiverBend in Ipswich o Wall of Fame- great coverage in Salem News o Thanksgiving Lunch Party o Singing Trooper - approx. 180 attendees. Wine and hors d'oeuvres, Mayor and Chief of Staff attended. Phil Cormier from Bev Hospital attended. 12/5 Volunteer Appreciation breakfast with 100+ volunteers, music and all volunteers received a 25 anniversary star Outreach working on Holiday Baskets, donations and cards to seniors that lost a spouse this year. o Donations collected at Center, City Hall, Library and Community Partners. Leaf raking for fall finished- about 45 yards done Photo Voice project- photos now in display in main hallway Senior Soiree- tickets going fast, $15. Music with Ray Novak, catered meal. Meetings /Activities /Clients 12/13 staff training on ADL and IADLs. Facilitated by Element Care staff. 12/6 At Risk Senior Taskforce Meeting- Continue to discuss confidentiality piece, waiting on response from City attorney. Bootstraps received grant to run Mobile Food Market at Center Jan — June, every other week. Starting sign ups now. CHNA has new grant cycle- community meeting on funding 12/14. Jessica attending. Will invite City's new grant manager to go with her. Requested to change January Board meeting from 1/ 2 to 1/9. All in agreement. Personnel Updates Blair Smith, Social Worker, started on 11 /14 MaryAnn on vacation 12/19 -1/2 Staff training on 12/13 Committee Reports Award Committee- Great work with the Wall of Fame. Not able to get a matching plaque for the nameplates for awardees. MaryAnn is following up with other trophy stores. Pictures of awardees will also go up on the wall. Remise about not putting Briscoe on Wall of Fame, given the long history of partnership with the Center. Bob Hobbs made a motion to add Briscoe Middle School to the Wall of Fame. All in favor. Scholarship Committee- No scholarships to review this month. Unfinished Business UMass finished survey data collection for Community Assessment. 27% response rate. Draft report will be sent to BCOA on 1/2/18. MaryAnn will send to the Board for their review and make comments, suggestions, and changes. UMass will do two community presentations of final findings- need to decide for which audiences, when and where. New Business Jessica Wistran made a motion to invite Bryant Ayles, Finance, to the February Board meeting to discuss the Enterprise Fund and `free cash'. All in favor. Announcements Happy birthday to Ms. Hart!
