Public Meeting Minutes

Kevin O'Reilly presided.
Neil Olson made the motion, seconded by Ivy Mahan, to accept the minutes of the regular
meeting of October 24, 2017 as read. Motion passed.

Personnel: No report.

Long Range Planning: No report.
Report of the Library Director
1) FY2018 Budget: Anna Langstaff reviewed the FY2018 budget, which is on track. 2)
Personnel: Part -time children's librarian has been hired. 3) Building Issues: Heating issues at the
Farms Branch are not yet resolved. The Sohier Room rug has been replaced. Both libraries
required recent elevator repairs which cost $2,000. Winter Street doors have been refinished and
now we are waiting for new hardware. 4) Chromebooks are now being circulated. Though off to
a slow start, it is going well. 5) Rearrangement: Head of Reference is diligently working on
assessing what materials are available electronically, and weeding the Reference collection to
prepare to move it into lower stacks. We will then be relocating adult graphic novels,
paperbacks, and travel books. We hope to add more comfortable furniture to the third floor. 6)
Community Meetings: Anna Langstaff has been attending the Community Advisory Commission
meetings which have provided useful information. Anna Langstaff will be the featured guest at
the Senior Center Coffee Hour on December 11. Anna Langstaff is meeting with Julie Flowers,
City Councilor At- Large- elect, at the library on December 1. 7) Beverly Holiday Parade: Anna
Langstaff, Siobhan Robinson, Bookmobile librarian, and Jess Moody, Friends Board member,
participated in the parade. They gave out 450 coupons for free book sale books. 8) Friends raised
$5600 at the fall book sale. They also held a pop -up book sale at the library on Small Business
Saturday. The profit is not yet determined. 9) Surplus: We have begun the process of
deaccessioning surplus items, which involves first offering to city workers for use in their
departments, and then auctioning through Auctions International. 10) Meghan Karasin attended
the 9th Annual MLS /RIOLIS Teen Summit, an informative all day conference for teen
librarians.
Communications
Letter received from MBLC announcing state aid disbursements to the Beverly Public Library.
Unfinished Business
None.
New Business
1) Trust Funds: Anna Langstaff provided a review of trust fund spending so far in FY2018 for
Trustees to review.
2) Action Plan: Library Trustees reviewed the FY2019 Action Plan. After some discussion,
Myron Schirer -Suter made the motion, seconded by Neil Olson,
to approve the policy, as amended. Motion passed.
The next meeting of the board will be Tuesday, December 12, 2017, at 6:OOPM at the Beverly
Depot Restaurant.
There being no further business, the meeting was adjourned at 7:38PM.
