Golf and Tennis Minutes July 11 2017-1OFFICIAL MEETING NOTES Board: Golf and Tennis Commission Date: July 11, 2017 Location: Beverly Golf and Tennis Clubhouse, Fireplace room Members Present: Chair William Lowd, Arthur Athanas, Douglas Richardson, Andy Cooper, Martin Lawler, Kevin Ascolillo, Chad Crandell Others Present: GFMI Staff- Chris Carter, Burt Page, Steve Murphy, Mike LaPierre, Dave Dionne, Dan Anastas, Purchasing Agent David Gellineau Recorder: Aileen O'Rourke Mr. Lowd called the meeting to order at 7:03pm. Members review the June 13, 2017 minutes. There was a question with the minutes regarding how the Golf and Tennis CPC application was ranked 3/10. Mr. Lowd answered it is a very complicated scoring system where each member ranks the projects and those scores are added up and they came in third highest. Mr. Lawler motions to approve the minutes. Mr. Athanas seconds. All in favor, the motion passes (7 -0). Financial update Mr. Lawler runs through the budget report. He asked Mr. Ayles what the Reserve account balance is. Mr. Ayles will be invited to come in and talk about the FYI budget in September / October meeting and let them know when the $375K will be available. Mr. Gellineau talks about the invoices that should be coming in for June of around $5000 which included: resurfacing the porch veranda, the supplies for the grass seed and portapotties. Mr. Carter Mr. Carter distributes the rounds and revenue report for the month of June. There were 5317 starts which is down 10% since last year. There were a few rain -out dates but it was still a very busy month with lots of outings and leagues. Membership revenue for June came in around $10,000. There may be a few more junior memberships coming in and a few new members joined this week which will count for July. Mr. Carter submitted an invoice for portapotties for June. He provides an update on the maintenance garage. The Contractor (Meridian) will start the framing and get the walls up from 7/19 -7/25. The original quote was for $9800 but by making the platform 6 feet narrower, it will cost $1500 less. Mr. Carter would like to use that savings to frame a wall for an office. GFMI submits a bill for reimbursement for seed and fertilizer to start mound on back and side of the driving range & protection of the tennis court in the amount of $1,183.50. The next issue was irrigation in the ground was never replaced at the tennis courts. The sprinkler heads were rusted due to debris coming through the pipe lines. GFMI bought new sprinkler heads for a total cost of $1300.39. These new heads will go on the new lines when installed. Mr. Murphy met with irrigation contractor to get a price to put new lines in the tennis courts, will hopefully have a proposal by the fall. Mr. Murphy They are creating a couple of mounds in the tennis courts area and being sensitive to the neighbors. They are working on the issues with the sprinkler heads. Adding some heads to the back mound. Mr. LaPierre Tennis members are skeptical of the mound so far but Mr. LaPierre is confident it will look nice. Trees surrounding the tennis courts are dying and dropping tons of needles on the course - asking for a proposal from Dodge tree to remove them, he identified 7 -8 trees that should come down for $5800. He will hold for September, maybe roll into another tree project with Mr. Carter. Mr. Page Wedding functions have been very successful. There is a problem with the ice machine. The event staff is forced to keep the air conditioning running at the bar at all times because it is too hot upstairs. Mr. Page will investigate the best fix. The walk -in freezer frame is cracked causing air to leak out and freeze. Mr. Page will get a quote to replace the frame and door. Mr. Page moves on to seating at the patio deck, he need more chairs for the rest of the patio. He got a quote for $98 for a set of two outdoor dining chairs, he needs 40. Mr. Lawler makes a motion to approve $2000 to purchase outdoor dining chairs. Mr. Athanas seconds. All in favor, motion passes (7 -0). Project updates: Pump house -It's been working ok for a month, they are only running 2 out of 3 pumps. One lost its prime this past Monday. They would like to run it at night, but it wasn't working overnight. After trouble - shooting the problem with the original contractor, it worked for a couple days and then shut down again. They will need to replace the pumps and computer board. Would like to go with White engineering out of NH to do the design work. They have a proposal for $4500 to design it. Will design the specs for the RFP, it will be a custom build pump station. Hopefully it will go out to bid by August and start work by Oct. Mr. Lawler makes a motion to authorize $4500 to White Engineering to create specs for a new pump station. Mr. Ascolillo seconds. All in favor, motion passes (7 -0). Mr. Gellineau suggests White engineering also be the project manager to oversee the installation. Mr. Murphy will get a quote for that as well. Mr. Lowd asks a commission member to oversee this project. Mr. Athanas volunteers to be the lead. The original contractor says it could be the 3 d pump not kicking in, would be at least $4500 to replace. Maybe get a quote from Meridian on remaining ADA items that are due to be completed by May, 2018 Veranda. 1. Water still leaking on the ceiling of the veranda 2. Replace Roof shingles over the pub entryway 21 Page 3. Replace railings and posts over the veranda on N and W sides of the building This was part of the original package to presented to the CPC. The price tag was too high for the CPC so they pulled out a section they would pay for. Mr. Lowd wants to bring this back in to the CPC for funding. Mr. Lowd will look at the original project proposal to see if this was scoped out. Porch collapse Mr. Lowd still not sure if the punch list is completed. Mr. Gellineau updates everyone: screened porch is done. Geinkapp has additional service charges for additional time on the project. Danco may get less at the end. The light trim is not right and there needs to be a solution for the lock at the bottom of the door since water may collect in the hole. CPC Round #4 Proposal Awaiting MOU after the CPC package is presented and voted on at the September City Council meeting. Public input Mr. Lowd asked a member of the public to investigate getting a runner for the veranda. The Commission will invite Mr. Ayles for September / October meeting to go over the budget for the new fiscal year. Mr. Lowd has suggested skipping the August meeting and reconvening in September, all members agree to this.
