Mr. Lowd started the meeting at 7:05pm.
Members review the November 8, 2016 minutes. Mr. Lawler motions to approve the minutes as
written. Mr. Crandell seconds. All in favor, motion passes (4 -0).
Financial update
Mr. Lawler reports the maintenance and repair account had one expense for $515 to Minuteman
press for the golf and tennis brochures (split between GFMI and G &TC). The Clubhouse
improvements account shows some adjustments for expenses, $48,000 is the Golf &Tennis
Commission portion of the capital improvements. The big expense of $14,200 for Stevens
Electric was for the new A/C unit in the basement, $32K remaining in maintenance, $27K in
other expenditures, and $24K in clubhouse improvements is the balance for those accounts.
Mr. Carter
Month of November totaled 1636 rounds and total starts at 35,301 making this the 2nd highest
rounds year. Member play is also up by 15,000. In terms of the revenue report membership fees
are up $464,250 for 2016 which is the highest so far. This means that public green fees down a
bit since members take away prime tee times. Overall, GFMI is very pleased. Pro -Shop will be
open until Dec 23 The Golf shop revenue numbers are up, as well as the 19 hole up,tennis,
and functions. The total revenue is $1.84 million for the year, which is the highest grossing year
so far. The referral program (which gives $250 off to an existing member and to the referred new
member) was very successful in bringing up membership numbers and will continue to be
offered next year. Mr. Carter's goal is to bring in and retain 500 members, total for 2016 was
301.
A recent inspection of the diesel tank which is located between the two cart barns was cited as
unreliable. The concrete tank has been outside for 15 or 16 years and cited that the setbacks are
too close to the building. Regulations have changed a few months ago, Mr. Dever will work with
Mr. McHugh to investigate options to resolve.
Mayer Tree Co. provided an invoice for proposed work on 4 tn 3 r 5cn and 6 holes to remove
trees to allow more sunlight for the plants to flourish. Members would like Mr. McHugh to get
more quotes. The benefit with Mayer is they are experienced with golf courses. Mr. Crandell
would like GFMI to prioritize the funds going to the golf course in a 2 -5 year plan including
prioritizing which trees to cut down first since the pump house needs attention and irrigation
needs to continue.
Mr. Murphy
Drainage on hole #5 completed. Finished work on #14, sprinklers will be put in the spring.
Mounds of dirt from various City work is getting dumped on the golf course could be used for
mounding but this is not great material. There is a pile of loam on #14 which is good. Still need
to do drainage in the garage area, need a materials storage area to be created, and finish building
out the garage with office & restroom areas.
Mr. Page
There are more functions coming in due to the new brochure advertising; 2 new weddings, and a
funeral. Mr. Page suggested to purchase tables and chairs for the covered porch.He passed
around a few different options. He would prefer to between 4 and 5, 36" round high table sets
with 4 chairs for $1600.Mr. Lawler motions to approve the request for the 5 sets of 36" table and
chair sets. Mr. Richardson seconds. Motion passes (4 -0). Mr. Page mentioned that electrical
bills have continued to go up by about $3K in the past 3 months. Mr. Gellineau will provide a
contact (at Baystate consultants) for a supply side electricity provider.
Project updates:
Porch collapse
The Porch project is nearly complete but there are a few delays. Railings off the back of the
porch were installed and one coat was painted, another coat needs to be applied. The copper
gutter needs to be replaced as water is leaking down the cement walkway, copper is expensive.
Doors are fabricated just need to be installed. A screen sample was passed around. Screens will
be ordered and installed next, as well as the lights and switches.
Downstairs Men's Locker Room
Rob Dever has a crew building out the area, flooring has been replaced, lockers need to be
moved back into place. New HVAC unit has been installed.
Round 2 CPC
The internal railings have been updated to the MAAP specs. Doors leading to Great Room
should be finished by next week. They needed to be widened to accommodate wheelchairs.
Women's bathroom needs fixtures, doors, and a few electrical tasks. Mr. Dever will move the
lockers from downstairs up to the women's restroom / locker room. All looks good.
Grant Project

Mr. Lowd provides an update on the grant application that was submitted to Lowes for $60K for
additional repair on the upper external railings. Ms. Walsh, the Grants Director forwarded an
email to Mr. Lowd from Lowes stating their grant request was not approved.
Other BG &T Projects:
Rob Dever and Mike Parker (Public Services) are putting together a proposal for Round 4 CPC
submission to modify the heat source for the clubhouse. Mr. Doig comments that the CPC likes it
when an organization will partner with another organization to leverage funds.
Mr. Lowd will meet with Mr. Gellineau to review potential projects going forward. The project
list was updated through 2018 in order to be in MAAP compliance. Mr. Page brings up the
leaking where the 2 roofs come together. He will have a roofer look at it.
Lawsuit with the City of Beverly
Discussion was held regarding the pending lawsuit. The case was settled and the Golf and Tennis
Commission will be receiving a cash payment.
