LI092720161City of Beverly, Massachusetts Public Meeting Minutes Board: Library Trustees Subcommittee: Date: Tuesday, September 27, 2016 6:30 P.M. Place: Beverly Public Library Board members present: Margaret Altman, Mary Behrle, Marshall Handly, Anthony Kline, Ivy Mahan, Neil Olson, Kevin O'Reilly and Joanne Panunzio, Myron Schirer -Suter Board members absent: Others present: Patricia Cirone, Anna Langstaff Recorder: Anna Langstaff Kevin O'Reilly presided. Neil Olson made the motion, seconded by Mary Behrle, to accept the minutes of the regular meeting of May, 24 2016 as read. Motion passed. Public Presentation None Committee Reports Personnel: Joanne Panunzio reported that she and Kevin O'Reilly met with Patricia Cirone to go over the library director's review. There was a discussion of how and whether to include a staff survey as part of the evaluation. Joanne Panunzio will put together a survey for the staff for the spring. Administration: No report. Finance: No report. Long Range Planning: No report. Report of the Library Director 1) FY2017 Budget: Patricia Cirone reviewed FY2017 budget. 2) Water Quality: Hot water heater has been replaced and this resolved the discolored water. 3) Sohier Room AC: Sohier Room AC still needs to be repaired. Rough estimate: $30,000. Mike Collins is working on a hard estimate and then will need to go to the Mayor to request the funds. 4) Other HVAC Issues: After one compressor died this summer, the library did extensive repairs on the HVAC system. Shortly thereafter another compressor died. 5) Winter and Essex Street Doors: Hardware and locking mechanisms need to be repaired on Winter and Essex Street doors. Automatic door closure mechanism has been repaired. 6) Equipment: Patricia Cirone plans to buy a Scannx machine. 7) Community Preservation Assessment Grant: Patricia Cirone received the assessment report. She would like to put a security camera in the Beverly Room. Patricia Cirone will review the report in depth and come up with a plan. In conjunction with the grant, there will be an all -day meeting at the library on emergency planning and preparedness, moving towards creating a COSTEP community for Beverly. 8) Personnel: Siobhan Robinson has been hired as the new bookmobile librarian. In the process of hiring a home delivery employee. Two employees are out on medical leave. 9) Security: Patricia Cirone met with the mayor to discuss additional security measures. The mayor is not in favor of hiring additional employees for security. Patricia Cirone and Anna Langstaff attended the Gloucester High Risk taskforce meeting and a similar meeting in Beverly that focuses more on seniors. Patricia Cirone and Anna Langstaff attended webinars on security. 10) Bedbugs: Several books with bedbugs were returned to the library. Patricia Cirone hired a company to conduct an inspection. 11) Ongoing Projects: New shelving has been installed in the children's room. The library will be offering self - checkout soon. 12) Upcoming Programs and Events: Book Sale October 22 -30, Musical Mornings with Miss Liz, Story Time, Fall Genealogy Series, Creative Writing Workshop, Beverly Farms Illustrated Talk and Reception October 1. Communications None Unfinished Business 1. Employment Contracts: Kevin O'Reilly reported that the employment contracts will be for one year, not two years, but contracts have not been signed by the mayor. Kevin O'Reilly will contact the mayor's office. New Rnsiness 1. Acceptable Use Policy: Library trustees reviewed the current Acceptable Use Policy. After some discussion, Neil Olson made the motion, seconded by Joanne Panunzio, to: accept the Acceptable Use Policy as presented. Motion passed. 2. Public Internet Use Policy: Library trustees reviewed the current Public Internet Use Policy. After some discussion, Neil Olson made the motion, seconded by Myron Schirer- Suter, to: accept the Public Internet Use Policy as presented. Motion passed. Security Policy: Library trustees reviewed the current Security Policy. After some discussion, Neil Olson made the motion, seconded by Marshall Handly, to: accept the Security Policy as presented. Motion passed. The next meeting of the board will be Tuesday, October 25, 2016 at 6:30PM at the Main Library. There being no further business, the meeting was adjourned at 7:50PM.
