BCOA BOD minutes 1 10 17Beverly Council on Aging Board of Directors Meeting Minutes Date: January 10, 2017 Place: Beverly Council on Aging Senior Community Center Board Members Present: Claire -Marie Hart, Bob Hobbs, Larry Albert, Jessica Wistran, Esquire Staff Present: MaryAnn Holak, Jessica Waggett Meeting Called to Order: 2:37 pm by Claire -Marie Hart Co- Chairperson Co- Chairperson Hart wished the Board members a Happy New Year. Before asking for a motion to accept the December minutes. Minutes of the December 6, 2016 meeting were accepted as written Director's Report Building Nothing of note since last Board meeting. Administration and Finance BCOA received $1000 donation from Axcelis at Christmastime. Reviewed YTD budgets- all budgets seem to be in line for this time of year. We have not hired the part time bus driver so that line item still remains unspent. Expenses and sponsorships from the Senior Soiree have not all hit that budget yet. Mary Ann and Jessica have not received their pay raises yet. Fuel Budget looks good. Formula Grant- Mayor Cahill signed the contract for the full amount of $81,189. Need to review expenditures and see what portion might be allocated to the community needs assessment we hope to have UMass Boston conduct. 2016 Donor list was put together and is in the February Newsletter. All donors recognized with the exception of anonymous donations. Nancy Johnson, long time Center attendee, passed away this month and family requested donations in her memory to the Center. We were very successful with collection donations for holiday baskets /outreach team this year. Collection sites at Senior Center, City Hall, Library, YMCA and local law firm. Programs and Events December Volunteer Appreciation brunch was very nice. The Holiday Lunch with Briscoe Middle School band and chorus was terrific as always and Mayor Cahill was able to attend. The BHS Concert Choir also performed at lunch one day. The Snow Ball Soiree took place on Thursday January 5, 2017. Dancing to live music by Ray Novack & the Horizons Trio, great meal, it was well attended, the Mayor attended. Great photos in the local paper. Stop and Shop donated flowers and a florist to come facilitate a flower arranging workshop to make the center pieces. Meetings /Activities /Clients MaryAnn and Jessica met with City Solicitor's - Stephanie Williams and Kevin Corridan. Regarding the draft of the Standards of Independence. See details in `Unfinished Business'. MaryAnn and Jessica also me with Chief of Staff, Kevin Harutunian. They discussed the Property Tax Work off program- Last year program was considered a `pilot'. There were 8 -9 tax rebates issued. At next Mayor Department Head meeting they will be asking for other volunteer roles. Hope to have a new position here at the Senior Center. They also discussed planning a 2017 Mayor's Symposium on Age Friendly Beverly. Discussed possibly having EOEA Secretary Alice Bonner as a keynote speaker. Will be a follow up meeting. MaryAnn will bring information about Age Friendly to next Board meeting. Outreach team delivered over 43 holiday baskets to individuals /couples in need. Additionally, mailed over 65 cards to individual seniors that lost a spouse this year. Overview discussion on Clients of Concern. Continue work with At Risk Taskforce and with Beverly Police Department. Personnel Updates Staff Holiday party this year was a very fun event. Lunch from Super Sub. At this time we have one new application for part time bus driver. Will be following up. Committee Reports Scholarship Committee did not met. Claire -Marie agreed to help out on committee since it is currently short members. Jessica will set this up. Awards Committee did not meet. Noted there will be some extra work for the committee this year with the 25 Anniversary. Will be a process for the Wall of Fame nominations and selection. By Laws Committee did not meet. Unfinished Business Standards of Independence — Reviewed document with the Stephanie Williams and Kevin Corridan from the City's Solicitors office. They has some recommendations on language modifications (removing language about seniors in need of assistance and details on appeal process). MaryAnn will be revising document and sending it back to the Kevin Corridan for his review and hopefully final comments before implementation. Gale Associates Proposal — MaryAnn will be in contact with Mike Collins regarding next steps. Kathy McNeill, the Executive Director of the Girdler House was ill this month and unable to attend today's meeting. Will be rescheduled to attend Board meeting to make a brief presentation at the February 2017 meeting. UMASS Boston responded to questions from the Board regarding 1) costs and 2) response rates as it relates to possible contract with them to conduct a community needs assessment for the older adult population in Beverly. Jessica will forward their responses to questions to MaryAnn to share with the Board. Board requested we seek out other quotes for comparison. Requested a detailed itemization of the hours in the proposal. Board member Larry Albert suggested a quote from another vendor. MaryAnn said she would ask EOEA for other vendors for such a survey.
