BGT Meeting Minutes June 14 2016-1CITY OF BEVERLY OFFICIAL MEETING NOTES Board: Golf and Tennis Commission Date: June 14, 2016 Location: Beverly Golf and Tennis Clubhouse, Fireplace room Members Present: Chair William Lowd, Doug Richardson, Gary Lambert, Chad Crandell, Martin Lawler Others Present: GFMI Staff -Chris Carter, Burt Page, Steve Murphy, Brian McHugh, Facilities Manager Rob Dever, Purchasing Agent David Gellineau Recorder: Aileen O'Rourke Mr. Lowd called the meeting to order at 7:07pm. Members observe a moment of silence in honor of former Commission member Dick Barger who passed away last week. Mr. Crandell asks about installing amemorial bench for Mr. Barger. The bench costs about $1500 which includes installation. GFMI is happy to install. Mr. Carter states the bench itself costs about $1100. Members will think about how to go about raising the funds for this. Members review May 10, 2016 minutes. Mr. Crandell motions to approve the minutes as written. Mr. Lambert seconds. All in favor, motion passes (4 -0). Financial update Mr. Lawler goes over the budget report including expenses paid to date. Mr. Dever reports the City has hired an experienced plumber so in -house plumbing costs should be less expensive. Members discuss the possibility of replacing the boiler. The boiler costs about $20K /year to maintain because it is very inefficient. Mr. Carter mentions that at the course GFMI manages in Lynn they installed two small boilers for about $60K. Mr. Dever will look into getting an estimate to replace the boiler. There are funds available to do this. Mr. Carter Mr. Carter distributes his rounds and revenue reports. Rounds report for month of May total of almost 5000 down from previous years but this was due to more rainy days in May. Gross revenue is up around $40K from last year to $457,400 because of the referral program and more junior memberships. It was a good month for greens fees at $84,873. The pro shop took in about $12K for May and the 9' revenue was over $19K for May. Functions were around $21K and Tennis brought in around $15K for May. Overall the course is in great shape. League play has been solid. The two for one Tuesday promotion will continue on a month by month trial basis. Coupons will be given out at outings to attract more players during the quiet times. Mr. Dever Mr. Dever was able to help repair the dishwasher and will be helping out with drainage in the parking lot. Mr_LnPierre Summer membership counts are at 129, 30 members above the best summer. Junior lessons starting at the end of June should be another 20 -35 junior members. Mr. LaPierre repainted the inside of the tennis shop and repainted the exterior of the shed. Mr. Murphy Completed majorprojects except sod, hope to lay sod on Thursday. Will start working on smaller projects. Mr. Page The new menu specials are going well, especially pizza. Mr. Page is booking more specialty functions. Project updates: Porch collapse Mr. Lowd met with the contractor to start the porch work. Work should begin on July 6 t ''. The contractor can do some work now before the work schedule is set. Mr. Lowd will have him install a temporary set of stairs by the fire escape to enter the back porch and downstairs locker room. When it rains water runs into the locker room through a crack in the porch making the carpet wet, maybe they need to put a ceiling in. Rubber flooring is going to be installed but hopefully the leak can be fixed first. Mr. Dionne has noticed the leaks come in from both ends of the building. Mr. Dever will have someone look at why the water is coming in to the building. Stucco will need to be re- touched up again and that is in the scope of work for the porch. Round 3 of CPC Project is to add a heating coil to the second floor A/C unit. Submitted to the CPC, just putting out to bid and get specs costs. The specs came back at $16K. One of the CPC Members, Mr. Matz sent an email to Ms. Maxner regarding possible grant programs to supplement the Golf and Tennis Commission's application. Mr. Carter believes these grant programs are designed to get more people to play golf, not for improvements in the Clubhouse. Mr. Lowd intends to ask the Beverly Grants Director for help in identifying possible grants. Round 2 of CPC - continuation 21 Page Mr. Lowd attended the CPC meeting where the Committee reviewed the Golf and Tennis Commission's out of cycle application. There was discussion regarding the application coming in 3 days late and whether it can be accepted. In the end, members voted that the out of cycle application met the criteria. The application asked for $285K. CPC members voted 5 -2 to fund $199K for this project. The next step is to get approval from the City Council. The public hearing is set for next Monday, will see if it is approved. Mr. Lowd went back to the ADA report, there were 89 items identified to be fixed but now the Commission is three - quarters of the way through those items. The remaining items are to replace doorknobs and thresholds when this is done, will be 80% done. Contractor came in at $234K, so will need to come up with the balance of $35K. The contractor would like to get started by August- September and will be finished by Thanksgiving. Mr. Lowd spoke with the Beverly Economic Development Planner regarding how the Golf and Tennis Club markets itself. The planner could create a brochure to hand out to people. There is a flyer GFMI has distributed to Chamber members. The Club is a member of the Chamber of Commerce. Adjournment Mr. Lawler makes a motion to adjourn the meeting. Mr. Richardson seconds.
