Meeting Minutes

Place: Beverly Council on Aging Senior Community Center
Board Members Present: Cynthia Montalbano, Claire -Marie Hart, Larry Albert,

Meeting Called to Order: 2.35 pm by Claire -Marie Hart Co- Chairperson
Director's Report
Building
MaryAnn reported that the Police Department used the main hall on December 3 for a holiday
party for their families
It was also reported that the city received a grant for the Center_ This was a last minute grant
opportunity which came through_ We were approved for $8,500, for the building audit for the
Senior Center_ Mike Collins notified Mary Ann November 22n
Administration and Finance
Jessica reported that we had applied for a Cultural Council Grant to fund a "photo voice"
program where seniors would take photos representing a theme and display them in the
community_
City Budget is in line_
Mary Ann and Jessica were informed that they would receive a 1.5% raise in salary_
Maintenance Budget have spent 60% of allocation so far_
Fuel Budget looks good_
Formula Grant $ 25,000, spent so far we are in good shape_
Bus tickets sold so far amount to $1,700, donations so far are $2,000.00_
The Friendly Garden Club donated Holiday Wreathes for both the front and back doors at the
Center_
Programs and Events
A Successful Craft Fair was held at the Council on November 3r
The Fair ran from 9.30 am to 2.30 pm_
Also Veteran's Day and Thanksgiving Day parties were also successful_
December events include a holiday luncheon with performance by the
Briscoe Band and Chorus, and a performance by the high school concert choir_
The Center will be closed for the Holidays on December 23, 26, and 30 and also on
January 2n
Volunteer Breakfast Buffet was held for one hundred volunteers on Dec_ 6
Mayor Cahill was in attendance at this tasty event_
The Breakfast Club Meeting to take place on December 8 at BHS_
Snow Ball Soiree to take place on Thursday January 5, 2017_
Time= 4.30 pm to 7.30 pm (doors open at 4 =00 pm)
Cost= $15.00 per person (cash or check to BCOA)
Dance to live music by Ray Novack & the Horizons Trio
Meetings /Activities /Clients
The City Department Head's meeting with the mayor was held at the Senior Center on Monday,
November 28 MaryAnn was able to do a presentation on the Elder at Risk Task Force_ She
gave the board members each a copy of her handout for the presentation_
Our Community engagement specialist organized a reading and craft event at BCLC_ She
attended with several of our active seniors_ Seniors and children interacted well_
25 Anniversary of the Center is in November 2017_ Party is in the planning stages_
Jessica Waggett attended the first responder training on working with Alzheimer's and dementia
people living in the community on November 14 This program was funded through the
Executive Office of Elder Affairs in a grant to Seniorcare, Inc_ The grant paid for the
training/OT of all of the attendees_ Approximately 7 police officers and 20 firefighters also
attended_
We have received generous donations for our holiday gift bag program and our outreach staff
will be hand delivering this throughout the month_
Jessica and Greg, our new outreach coordinator did outreach events at senior housing residences
— Pleasant Street Veteran's Housing and at Garden City Towers_
At this time we have no applications for part time bus drivers_ This is a difficult
hire due to the 19 'h hour work week_
Committee Reports
Scholarship Committee met and one scholarship was granted to help with medical expenses_
By Laws Committee did not meet_
Awards Committee did not meet_
Unfinished Business
Standards of Independence — the draft was reviewed with Jessica Wistran and will be sent to the
Solicitor's office for review and acceptance
Gale Associates Proposal — MaryAnn has resurfaced this and will be in contact with Mike
Collins regarding next steps_
New Business
Kathy McNeill, the Executive Director of the Girdler House asked to make a brief presentation at
the January 2017 meeting and the Board members agreed to the request_
MaryAnn asked the Board to consider changing the date of the January meeting to January 10
due to the holiday schedule_ The Board agreed to the change_
UMASS Boston has submitted several different proposals with varying costs to complete a
community needs assessment for the older adult population in Beverly_
Next Meeting will be Tuesday, January 10, 2017 at 2:30 pm
