2016-02-02Beverly Council on Aging Board of Directors Meeting Minutes Date= February 2, 2016 Place= Beverly Council on Aging Senior Community Center Board Members Present= Blair Smith, Bob Hobbs, Cynthia Montalbano, Ann Horrigan, Larry Albert, Claire -Marie Hart, Jessica Wistran, Esquire Staff Present= MaryAnn Holak and Jessica Waggett Meeting Called to Order= 2.35 pm by Blair Smith, Chairperson Secretary's Report December meeting minutes were accepted as written_ January meeting did not have a quorum_ The January Director's notes were submitted and accepted by the board_ Director's Report Building Beverly Hospital Presentation was canceled_ The Center is experiencing parking issues on high activity days_ For example our exercise classes have increased some 46% over last year at the same time_ Wonderful numbers but, the increase in attendance now causes a parking concern_ Administration and Finance YTD Budget report discussed, 60% through the year and 27% of the overtime budget has been spent_ Mass Dot visit follow up is still needed from the City Solicitor and Human Resources on Title VI compliance document_ Staff meeting to review goals achieved in calendar year 2015 was held; 2016 goals should be ready for review by the March Board Meeting_ MCOA Service Incentive Grants were received_ One for a "Falls prevention" grant and the other for a half day workshop during Older Americans month_ An application for Community Engagement Fellow 2016 -2017 has been submitted_ Programs and Events Breakfast Club- is going well next meeting is February 25 at the Senior Center Holiday parties went well, as did the Briscoe and high school music performances_ Snowball Soiree - January 7 Winter Parry - January 14 Bootstraps will hold office hours at the Center in March to sign up for seniors for SNAP program_ Tax preparation is now underway with AARP and RSVP as co-sponsors- Grant funded 18 week exercise class will begin on February 18th_ Beverly Council on Aging Board of Directors Meeting Minutes Committee Reports Awards Committee - no meeting By- Laws Committee — no meeting Scholarship Committee met before the Board meeting_ Blair Smith Reported that several trips were approved- Meetings/Activities/ Clients Mary Ann stated she attended CHNA meeting on January 27 to help inform on the emerging pressing needs of older adults in our service area_ Three top areas for work include= behavior health need of older adults managing chronic health conditions across the life span and support for caregivers_ Also on January 27 MaryAnn met with three other COA Directors, two reps from Mass Council on Aging and two reps from the Greater North Shore Link to discuss how best to address the concerns of special populations and their agencies assuming that Senior Centers can carry on the burden of care for these folks once they turn sixty years old_ Work Group is still working on Standards of Behavior and talking to MCOA and other partners about the role of Senior Centers in serving special populations_ The High Risk Task Force continues to meet and is working towards a way of sharing information regarding mutual clients_ Senior care is seeking a Tufts grant to hire a facilitator for the group_ Personnel Updates Vacancy for a part-time custodian- interviews are underway Activities Coordinator vacancy - The position has been offered to a well - qualified Candidate; we are waiting to hear back_ Gordon College interns - 2 BSW students, for 32 hours/week through beginning of May Outreach Coordinator Abigail Butt has a planned maternity leave May-July- Due to Super Tuesday on March 1, The Board agreed to meet the following week.
