2015-04-07Beverly Council on Aging Board of Directors Meeting Minutes Date= Place= Board Members Present= Staff Present= Meeting Called to Order= Secretary's Report April 7, 2015 Beverly Council on Aging Senior Community Center Bob Hobbs, Cynthia Montalbano, Claire -Marie Hart Annie Horrigan, Jessica Wistran, Blair Smith Mary Ann Holak, Jessica Waggett 2.35 pm March Meeting notes were approved as written_ Director's Report Building The City's Purchasing Agent requests that the Council put the Podiatrist position out for bid and MaryAnn is working on getting this going so the Center can resume podiatry services_ The winter snows has caused damage to the AC unit_ It is estimated that the coolant leak repair could cost up to $1500_ Administration and Finance Discussion on the YTD budget_ April- the city budget is on target for the last three months_ Formula Grant= Spent YTD - $ 42,090 Remaining till June $ 20,997.58_ Program and Events Breakfast Club meetings -April 8 th at Beverly High School and on April 30 at the Senior Center_ Volunteer Appreciation Luncheon on April 23r April 29 a staff training on "What is Community Engagement ?" At Risk Seniors Task Force — MaryAnn is spearheading a group of first responders and agenices that serve seniors to better understand the roles of each in helping a senior in crisis_ Paul Lanzikos, Director North Shore Elder Services will tell us how this type of task force has worked in the North Shore Elder Services catchment area_ Senior Center staff along with the Mayor's Chief of Staff, Kevin Harutunian are planning a Mayor's Symposium on Age Friendly Beverly_ This event will take place on Wednesday, June 3, from 2-5p-m- and MaryAnn requested that all board members attend the event_ The goals and objectives for the 2015 calendar year for the Beverly Council on aging and Senior Center were discussed_ Document on the goals and objectives was distributed to the board_ Goal # 1= The Senior Center will serve as a hub of resources, services and activities for Beverly seniors and their family_ Goal # 2= The Senior Center will provide opportunities to improve physical health and wellbeing through a comprehensive offering of exercise classes, dance, physical activity and health lectures and services_ Goal # 3= The Senior Center will provide opportunities for social, intellectual and emotional health and wellbeing by providing an array of parties, day trips, lectures, and activities that provide opportunities to socialize, participate and engage in lifelong learning_ Goal # 4= The Senior Center will provide education and resources to support financial wellbeing of seniors_ Goal # 5= The Senior Center will provide opportunities for older adults to utilize their skills and experiences in meaningful volunteer roles that extend our ability to provide services_ Goal # 6= The Senior Center will provide opportunities for older adults to participate in the community through civic engagement activities and "age friendly" Beverly activities_ Goal # 7= The Senior Center staff will attend development workshops to improve and enhance their sill set and ability to perform their job duties more effectively_ Goal # 8= The physical plant of the Senior Center will be well maintained and repairs and improvements will happen as needed_ Goal # 9= The Board of Directors, administrative and program staff as requested will focus on budget development, program prioritization, grant writing, policies and procedures and efficiencies that will enable programs and activities for seniors to thrive_ Other Updates: Thomas Bussone, Esquire informed us that approximately $ 9,000.00 remains in a "Friends account" and it would be appropriate for us to use that for the match we need for the new bus_ Personnel Updates= Staff training on Community Engagement on April 29 We will be sad to see Molly leave; her last day will be on May 13 Going away party on May 13 to wish her well_ A new Merrimack Fellow will begin at the Center in August_ TBA Committee Reports By Laws Committee Jessica will follow up with the City Solicitor on the updated draft of the by -laws to the Board_ Scholarship Committee Blair reported that three scholarships were approved, two for transportation and one for a trip_ Awards Committee Senior of the Year Nomination Forms will be inserted in the May newsletter_ New Business: Discussion on the two hour Board training held at Endicott that was attended by several members_ MaryAnn is looking into holding training for the entire board to be held at the BCOA date to be announced_ Unfinished Business Thorne Estate has been settled an $99,000 has been allocated to the Enterprise Fund Next Meeting will be May 4, 2015 -12.30 pm Respectfully Submitted by_ Cynthia A_ Montalbano, Secretary
