2014-11-18 (2)BEVERLY GOLF & TENNIS COMMISSION November 18, 2014 Meeting Minutes Commissioners Mr. Lowd Mr. Ascolillo Mr. Lambert Mr. Lawler GFMI Mr. Carter Mr. Dionne Mr. McHugh Mr. Murphy rl1FU Mr. Dever Meeting called to order at 7pm. Minutes for September Mr. Lawler motioned to accept the minutes for September, seconded by Mr. Ascolillo. Motion carried 4- 0. Please note October Meeting Notes were submitted and distributed; there was no quorum for minutes to be recorded; discussion only was conducted and notes were taken to be discussed at the November meeting. Finance Report Mr. Lawler distributed the up -to -date Finance Report noting the remaining balance of $44,155. He brought to the attention of the Commission the few accounts that were affected this month and indicated that there was no activity in the Bond account. Site Projects Update — Mr. Dever Mr. Dever indicated that the majority of the ADA signs have been placed according to Gienapp specifications. There are signs they need to be creative with near and around the tennis building. Mr. Gelineau did update Gienapp on our progress. Mr. Dever will follow up on the hinges and railing yet to be installed; Mr. Lowd would like that complete by the December meeting. Mr. Dever explained that the City is still occupied at the water front and if weather and time allows they will start Phase One of the paving project; if not before the snow falls then early spring. He also stated that the chimney topper vent is still broken. He will also follow up on the coating on the stairs leading into the restaurant. The Carter Resort Mr. Carter indicated that he will be speaking for Mr. Page regarding some matters this evening. He indicated that they had the beer cooler repaired; it worked for two weeks then went on the fritz again. He distributed his Rounds Report; indicating October not being their best month down 15 %. They had eight days impacted by bad and cold weather. The Jamboree got rained out but is rescheduled. He reviewed the Revenue Report with the Commission. He stated that Bass River Tennis is on board for next year. Mr. Carter presented a Referral Program to the Commission. This Referral Program would offer a discount to the member and the young adult joining, possibly $500 or $250 each. He also indicated that he would like all rates to remain the same for next season but would like to add this incentive program to bring in more young adults. He stated that he is receiving deposits now. Mr. Lambert recommended a sliding scale. Mr. Carter will bring his proposal with a sliding scale to the December meeting. Mr. Carter also stated that he is in communication with The Cummings Center and is presenting to them an incentive program as well. They have a flyer that will distributed in Remax open house brochures. The new bench has arrived and will be placed on #11. GFMI will purchase new grass cutting /trimming and possibly grinding equipment. The Dionne Report Mr. Dionne stated that he is working with Benchcraft Advertising and creating a picture graphic book of each hole to present to each member. This book will also contain yardage information. The Murphy Report Mr. Murphy indicated that they cleaned up on the left of 4 and will do seeding in the spring. He has started some drainage work and the material they dig out they will use for tee work. They are working on forward tee on 3 on hill; cleaning up left side of 13 and 12. Doing fall clean up into winter. Mr. Lawler asked if he plans on cleaning out growth near 12` tee. He feels the wooden grate needs to be thought about. Mr. Lowd Update Mr. Lowd indicated that he will check on the invoice regarding the Portable Potty's. He believes it has been paid but will confirm. He also commented to the Commission that Scialdone Painting did a fabulous job on their project. They will put the next phase of the project out to bid. He asked the public for any comments. They have commented on how great the paint job looks. Meeting adjourned at 8:20pm.
