2014-02-11Beverly Golf & Tennis Commission 134 McKay Street Meeting Minutes for February 11, 2014 Commission Members Bill Lowd, Chairman Kevin Ascolillo Chad Crandall Gary Lambert Marty Lawler Doug Richardson Guest: Dave Gelineau Meeting was called to order at 7pm Mr. Lowd began the meeting by stating that Mr. Crandall, Mr. Ascolillo and Mr. Lambert were reappointed by Mayor Cahill for another term. Finance Report Mr. Lawler distributed the up -to -date spreadsheets for the bond and maintenance accounts to the Commission. Minutes for February 11, 2014 Mr. Lawler motioned to approve the December 2013 minutes, seconded by Mr. Crandall. Motion carried 6 -0. The Carter Report Mr. Carter started his presentation discussing the future of BGT. He continued to emphasize that the future of the club is within the young adult target. His goal is to attract the young adult market, by adding a young adult catagory ages 26 -39 to the membership form. He stated that they have a large number of 50 -70 year old members; and is concerned where the BGT will be down the road without young adults to move it forward. He indicated that he would like to add this category to their membership options for a year; he is not sure if it will work but it is a start. This is the breakdown of last year's memberships: Individual Resident 57 Individual Non - resident 27 Senior Resident 48 Senior Non - resident 30 Couple Resident 5 Couple Non - Resident 4 Family Resident 1 ? ? ? ?? 19 ? ? ? ?? 3 College Resident 20 College Non - Resident 3 Junior Resident 14 Junior Non - Resident 19 Again, Mr. Carter indicated that the majority of the members are of the age of 62. The young adult, they picked up about 16. He also indicated that there is a group forming and with an incentive they would join and bring in more. He also stated that one other course that offered a similar program picked up about a dozen new members. Mr. Crandall expressed concern that the seniors are your bigger base; they are also on a fixed income. They have been members for many years. How would they feel offering a special for young adults at a special rate. The Commission also discussed briefly corporate or a referral type incentive /program. Mr. Lawler motioned to approve the new young adult membership as discussed, seconded by Mr. Ascolillo. Motion carried 6 -0. Mr. Carter submitted a bill that seemed to have been overlooked, Mayer tree Service for a tree that fell on the tennis courts and tree work in the club house area totaling $8270. He indicated that bill was approved back in September 2013 but never paid. Mr. Lawler will investigate the payment /non- payment of the bill. Mr. Lawler motioned, if bill was not paid to approve payment of $8270 to Mayer Tree Service, seconded by Mr. Crandall. Motion carried 6 -0. Mr. Carter also presented the Commission with a letter to exercise their option to extend their contract. Mr. Lawler suggested that the Commission vote to recommend GFMI extend their contract for an additional five years. Mr. Lawler motioned to recommend to City Council and Mayor Cahill that the GFMI contract be exended for an additional 5 years as contained in section 2 of original management contract dated March 20, 2010. Motion seconded by Mr. Ascolillo, Motion carried 6 -0. The McHugh Report Mr. McHugh stated that the course is standing up well; the snow is actually acting as an insulation. The Page Report Mr. Page stated that all of the ballroom curtains have been cleaned and submitted a bill that was approved at a prior meeting. He submitted a bill for $696. He stated that John Decoursey Roofing came down to look at the leak on the veranda. It was determined that the leak is from the gutters and Mr. Page submitted an estimate for the gutter repair. He also submitted an estimate from Scialdone Painting for the grill room totaling $2100. Mr. Lawler rescinded the motion from January 2014 for the $2000 for veranda carpeting, seconded by Mr. Lambert. Motion carried 6 -0. Mr. Lawler motioned to approve $2100 for Scialdone Painting (grill room), seconded by Mr. Lambert. Motion carried 6 -0. New Maintanance Building The architect is getting plans to finish. Meeting adjourned at 8:30pm
