Meeting Minutes for January 14, 2014

Meeting was called to order at 7 pm.
Minutes for December 10, 2013
Mr. Lawler motioned to approve the December minutes seconded by Mr. Ascolillo. Motion passed 4 -0.
Finance Report
Mr. Lawler distributed the up -to -date spreadsheets for the bond and maintenance accounts to the Commission.
Mr. Lowd also indicated that attached to the minutes of December were copies of FY 2014 BGT Budget, BGT
Capital Improvement Update & BGT Progress Notes. This is to give the Commission and others a view of what they
began with in 2013 and what was accomplished at the end of 2013.
The Carter Report
Mr. Carter distributed his up -to -date Rounds spreadsheet. He is focusing on increasing membership; and the one
area that needs focus is the young adult market. He feels that age group has a lot of time restraints; young
families, other commitments; he wants to put together a package aimed towards attracting the young adults.
Keeping in mind the existing young adult members; he doesn't want to cause any animosity. He has some ideas
and will present a proposal at the new meeting.
The Rounds for December were 211. This falls in line with the national percentage. He also gave Mr. Gelineau a
check for $45,000 as first payment for 2014.
The Burt Page Report
The Grill Room is officially closed for the winter. They are receiving calls for golf outings and functions for the
coming season. Mr. Scialdone will paint the Ball Room for $12,750 and will start on 1/15/14. He will provide a
certificate of Insurance upon arrival as promised. The roof over the veranda is problematic. The leak is causing the
accumulation of water which freezes which can cause an accident. Also, during a snow storm, the snow drifts and
blows in on top of the frozen ice. Mr. Burt has priced a 70' heavy duty carpet runner for use during functions for
safety. He can order one 70' runner or multiple runners equaling 70' for under $2000.
Mr. Lawler motioned to approve and not to exceed $2000 for heavy duty (temporary, removable) carpet runner(s)
for the veranda for functions and safety purposes, seconded by Mr. Ascolillo. Motion passes 4 -0.
Mr. Page will also get some estimates to repair the leak in the roof causing the water accumulation on the
veranda. He will also look into a temporary awning system.
Maintenance Buildi
Mr. Carter indicated that he spoke to Mr. Mike Walker to obtain original plans and drawings of the new
Maintenance Building. He will provide a final draft to Mike Collins who in turn will obtain a building permit to
erect the wall required to finish the interior of the new building.
Mr. Carter also stated that he is anticipating a visit from his insurance carrier and they previously mentioned
building an enclosure for their fertilizer. He would like to have this completed prior to their visit. He received a
quote from Cedar Fence Company of Beverly for a 6' high chain link cage with a 12' double drive gate at a cost of
$1,050.
Mr. Lawler motioned to accept the quote of $1,050 for the chain link fence enclosure for the fertilizer, seconded
by Mr. Ascolillo. Motion carried 4 -0.
Management Contract
Mr. Lowd distributed The Management Contract to all the Members and GFMI members present. He stated that
as indicated in the contract the GFMI contract expires December 31, 2014. He also stated that Mr. Carter (GFMI)
has the option to ask the City Council and /or Mayor Cahill to extend the Management Contract for an additional
five years. Mr. Carter indicated GFMI will submit a letter to City Council and /or Mayor Cahill to ask for an
additional five year extension of the Management Contract. Mr. Lowd, on behalf of the BGT Commission, proudly
stated they will submit a letter also recommending the GFMI's Management contract be extended. The letters
must be presented on or before July 15, 2014.
