July 7, 2014 Meeting Minutes

Meeting Called to order at 7pm.
Mr. Lowd stated that he has set up action items for the next 60 days because
there will be no meeting in August. He has indicated that the School Dept. and
the BGT meet on the same evenings and Mr. Ayles will not be able to attend out
meetings for a few months.
Mr. Lowd also indicated that he received a bill for $400 payable to Comm. Of
Mass. for elevator permits and Halley Elevator Co. for $615. Mr. Richardson
seconded motion. Motion passed 4 -0.
Mr. Connolly's bench has been ordered for the 11 hole.
Minutes for June
Mr. Ascolillo has motioned to accept the minutes for June, seconded by Mr.
Lawler.
Finance Report
Mr. Lawler stated that there was no report; the City has not closed their Fiscal
Year as yet. He indicated that next month we should have two reports. We
should also have our reports in a new format.
Tennis
Mr. LaPierre stated that tennis is well, weather is good and junior membership is
up. They will most likely pay as they go. New England Championships play this
weekend and next. There should be no parking issues; they split up age groups.
They start right at 8am on Saturday. The courts are in great shape; they dried
right up after the heavy rains.
Carter Report
Mr. Carter indicated that he is getting a price for an exhaust fan for the attic and
ice machine. There is heat from the attic and the ice machine that needs to be
ventilated.
Mr. Lawler motioned to approve a fan for utility closet in the tennis building not
to exceed $600, seconded by Mr. Ascolillo. Motion carried 4 -0.
Mr. Carter stated that there were 5298 rounds in July; close to other years. They
had many good days. They have 9 new members. The have $16,000 in
outstanding balances; they will try to reach out to those members.
Mr. Carter indicated that they are working hard on a new marketing plan to
attract new members. Also, on how to retain current members. Half of our
members are members and half are public; we need to improve their experience
to keep them. We want to bring beginners in, woman players, try to add value to
their membership with proshop and member birthday discounts.
Mr. Lawler mentioned implementing senior tees.
Mr. Dionne and Mr. Carter indicated they have forward tees which are the same.
Mr. Lawler also indicated the need for portable pottys on the course. Mr.
McHugh will get quotes for two. Mr. Lawler motioned to get two portable potties
for two months not to exceed $2000, seconded by Mr. Ascolillo. Motion carried
4 -0. Mr. McHugh will have them surrounded by a stockade fence to prevent them
from being tipped.
McHugh Report
Mr. McHugh indicated that the 13 hole is cleaned up and he wants to put a 2'
high fence over by Goodyear to prevent carts from driving off the road. It would
cost approximately $2500.
Mr. Lawler motioned to approve $2600 (not to exceed) for a one rail fence on
Goodyear, seconded by Mr. Richardson. Motion carried 4 -0.
Mr. McHugh also stated that the greens are well, ready for the tournament for
this weekend. The season is half way over. They are going back in to the little
creek, it is soft because of the rain.
Dionne Report
All is well, two day event this weekend. Woman's league doing well. Nike camp
doing great.

Mr. Lowd distributed an email from Aaron Margolis of Gienapp Design indicating
he will start work on the sloped walkway, concrete step, railing, veranda deck,
sand and recoat deck. This work will start on July 14 and take approx. 1.5 weeks.
Mr. Page will oversee the progress and report if he has any concerns.
Mr. Page distributed three carpet bids to the Commission. The bids will depend
on the condition of the floor beneath the existing carpet. The existing carpet will
take us through the summer. He also distributed two quoted from painters for
the exterior of the building. One Way was called to do quote but never
responded. The Commission would like for One Way to submit their quote.
Mr. Page submits a quote for a leak repair of $1850 on the front porch. Mr.
Lawler motioned to approve $1850 to Decourcey Roofing for leak repair seconded
by Mr. Ascolillo. Motion carried 4 -0.
Mr. Lowd indicated actions for the next week to few months:
Gienapp is overseeing warranty work on the deck, ramp and stairs.
Sand deck /coat veranda deck on club house.
Repair / replace ramp and stairs as required
Go to Meridian and Tremblay for Windows /railings for quotes
Railings to be to code
Windows upstairs — repair where necessary
Heater in maintenance shop has stopped, need City to finish work
City will put in drains before paving maintenance building area
Repair leak over veranda deck
Carpet bids for thye Fall time frame
Gale report found by Mr. Page; will be distributed to all Commissioners
