2013-03-26t- Board: Library Trustees Subcommittee: City of Beverly, Massachusetts Public Meeting Minutes Date: Tuesday, March 26, 2013 7:00 P.M. Place: Beverly Public Library Board members present: Margaret Altman, Mary Behrle, Marshall Handly, Neil Olson, Kevin O'Reilly, Joanne Panunzio, and Myron Schirer -Suter Board members absent: Georgia Bills, Anthony Kline Others present: Patricia Cirone, Anna Langstaff Recorder: Anna Langstaff Kevin O'Reilly presided. Marshall Handly made the motion, seconded by Neil Olson, to accept the minutes of the regular meeting of February 26, 2013 as read. Motion passed. Public Presentation None Committee Reports Personnel: No report. Administration: No report. Finance: No report. Long Range Planning: No report. Report of the Library Director 1) Budget: Patricia Cirone reviewed FY2013 budget. The mayor met with city department heads regarding next year's budget and no specific percentages were given, but John Dunn did indicate that there might be room for specific, one time requests. Patricia Cirone would like to replace the carpet on the second floor. 2) Building: Work on HVAC system is progressing. Digital controls have been installed. The next phase will be balancing the system. Mike Collins anticipates that there will be considerable cost savings. RFP for the work on the skylights and Essex Street facade will go out to bid in April or May. Preliminary findings suggest that repairs will be more expensive than first anticipated, partly because work also needs to be done on the roof of the "new" addition. Depending on the cost estimates, work may need to be staggered over the next several years. There is no time frame on when work will start. The Barnet Gallery has been painted and new carpeting will be installed in April. Carpeting for the Sohier Room has been selected but have not received a date for installation. 3) Farms Library: Nextel building is vacant. Patricia Cirone received the approval from Bob Munroe, assistant city solicitor, to accept the Nextel building. 4) Cafe: Patricia Cirone met with Bill Burke and Joe Reale of the health department regarding the requirements of opening a small cafe. Patricia Cirone also wants to meet with Mike Collins regarding potential costs for three possible locations. 5) Bookmobile: Old bookmobile sold for approximately $7,000. 6) Personnel: Some of the hiring for the circulation department has been completed. Applications for part-time position are being reviewed. Full -time children's /reference position has been posted. 7) Security Camera: Additional security camera on the Dane Street side of the building should be installed soon. 8) Evergreen: NOBLE is still waiting for the memory leaks to be fixed before migrating to the new Evergreen release. MBLC has set aside $50,000 in grant money to go towards solving these issues. 9) Public Fax: The library plans to offer public fax service. 10) EBook Pilot: Beverly High School Library has also been asked to join the statewide eBook pilot program. This means that the public library and high school library can both promote this throughout the community. 11) Programs: Monday Mornings, creative writing class, story times, What's the Big Idea, opera class, teen poetry award ceremony, book sale preview party. Communications None Unfinished Business None New Business 1) Email Addresses: Anna Langstaff asked if board members want to continue to have their email addresses listed on the city website. The next meeting of the board will be Tuesday, April 23, 2013 at 6:30 PM at the Main Library. There being no further business, the meeting was adjourned at 7:30 PM.
