Public Meeting Minutes
Date: Tuesday, February 26, 2013 7:00 P.M.

Board members present: Margaret Altman, Georgia Bills, Marshall Handly, Anthony Kline,
Neil Olson, Kevin O'Reilly, and Myron Schirer -Suter
Board members absent: Mary Behrle, Joanne Panunzio
Others present: Patricia Cirone, Anna Langstaff

Kevin O'Reilly presided.
Neil Olson made the motion, seconded by Anthony Kline, to accept the minutes of the regular
meeting of January 22, 2013 as read. Motion passed.
Election of Officers
Anthony Kline made the motion, seconded by Marshall Handly, to nominate Kevin O'Reilly as
Chair. There were no other nominations. Motion passed.
Kevin O'Reilly made the motion, seconded by Marshall Handly, to nominate Joanne Panunzio as
Secretary. There were no other nominations. Motion passed.
Committee assignments will remain the same.

Personnel: No report.
Administration: No report.
Finance: No report.
Long Range Planning: No report.
Report of the Library Director
1) Budget: Current budget is on track. No word from Mayor when budget discussions will start.
2) Building: HVAC work is progressing. Digital controls are being installed but have not been
switched over to new system. RFP for work on skylights and Essex Street facade is scheduled to
go out to bid in April. In anticipation of this work, plans are being made to move the rest of the
fiction books to another area. Barnet Gallery has been painted. Carpet for Sohier Room and Will
Barnet Gallery has not been chosen. Shades will be installed on some of the 2nd floor windows.
3) Farms Building: There is an on -going leak in the roof. Nextel has moved out of small building
on Farms Library property. The library will use this for extra storage space. 4) Bookmobile: Old
bookmobile is up for bid. 5) Personnel Changes: The communication department positions have
been filled. Circulation positions have been posted. Reference job description is being revised. 6)
Security Camera: Patricia Cirone is waiting for final approval to install an additional security
camera on the Dane Street side of the building. 7) Evergreen Upgrade: NOBLE has not switched
over to the new upgrade of Evergreen. 8) Public Fax: The library is planning to offer public fax
service. 9) Downloadable Books: Patricia Cirone reviewed the library's downloadable book
statistics. The Beverly Public Library has been asked to participate in a statewide eBook pilot
program. 10) Programs: Teen poetry contest, author talk with James Phoenix, opera class, book
sale, creative writing class.
Communications
Kevin O'Reilly reported that the Beverly Public Library was granted a waiver and will be
receiving state aid funds.
Unfinished Business
1) Meeting Room Policy: Library trustees reviewed draft of meeting room policy. Anthony Kline
made the motion, seconded by Marshall Handly, to:
accept the Meeting Room Policy as amended. Motion passed.
New Business
1) Conflict of Interest: Anna Langstaff will check with city clerk to see if library trustees need to
sign off on the conflict of interest law.
The next meeting of the board will be Tuesday, March 26, 2013 at 7:00 PM at the Main Library.
There being no further business, the meeting was adjourned at 7:50 PM.
