Meeting called to order at 7pm.
Tour of Club House
Commission members had a tour of the current construction areas at the clubhouse.
Particularly reviewed the handicap accessible ramp modification, the porch surface area,
and the installation areas for the lift units.
Minutes for December
Mr. Lawler motioned to accept the December minutes, seconded by Mr. Crandell.
Motion carried 5 -0.
Finance Report
Mr. Lawler distributed the Finance Report and reviewed it with the Commission
members. He reviewed the expense accounts that were adjusted during the month of
December.
Capital Improvements
Mr. Dunn distributed BGT Capital Improvements update dated December 31, 2012,
indicating other ADA compliance improvements of approximately $80,000. He indicated
that having Beverly Public Works Officials involved in completing these improvements
could save the city money for other improvements. He also stated that we might be able
to apply and be honored with additional grant money.
Club House Update (Mr. Dunn)
Mr. Dunn reported that work has begun on the updating of the Club House ADA
accessibility: re: lifts, ramps, etc. The lift and ramp work will continue through March
and will be coordinated with Mr. Page to minimize business interruption. Additional
ADA work will be required and will be budgeted to occur over the next five years out of
season. This work should resolve the ADA issues for the clubhouse facility. Our
architect will attend the meeting scheduled for February to finalize the ADA
requirements to be included in the five year plan.
He also indicated that the contractors would do a reasonable clean up when they are
finished as part of their scope of work. In addition, it was discussed to evaluate
contracting a professional cleaning company to provide a deep clean to the clubhouse
when construction is complete.
The Carter Report
Mr. Carter stated that total rounds played in 2012 was up 10% over 2011, which is good
news. He feels they finished the year on a positive note. He is also accepting deposits.
He indicated that the woods have been cleaned out to the left of the 4 th hole. The reels
have been sharpened at Hillview in North Reading. They have added a wooden wall to
the cinder block in the new maintenance building. Mr. Carter also reported that they
have ordered new golf carts that will be delivered in the spring. The Cart Pen has been
removed to allow for additional parking in the spring.
Mr. Carter also reported that the rates for golf membership and play for 2013 would
remain the same as 2012.
Mr. Carter reported that the construction company hit an electrical feed during their work
at the club house eliminating power feeds to the cart barns, pro shop and maintenance
garage. Mr. Page was unaware that the power was also lost to the freezers in the
basement resulting in a loss of approximately $2000 worth of food.
Mr. Dunn will discuss with the contractor their liability insurance and the Commission
will discuss allocating money for Mr. Page's loss.
Mr. Lawler motioned to maintain the same season rates as 2012 for 2013, seconded by
Mr. Crandell. Motion carried 5 -0.
The Tennis Report (Mr. Carter)
Mr. Carter stated that the screens can be folded for spring and will be fine.
The Dionne Report
Mr. Dionne indicated that they are collecting dues; he stated that 15 to 20 members can
go either way but they can be prorated. He stated that he has a check for the first
Memorial Bench, which will be delivered in about two weeks. The bench will be placed
on the 11 tee. The check will be made out to the City of Beverly for $1500.
The Page Report
Mr. Page reported $2700 in December. He also stated that he will not show the Club
House during construction and will wait for it to be cleaned before showing. He
anticipates a lot of bookings once the lifts are installed. He also reminded the
Commission his concern for the lighting on the signage at the entrance to the property.
