Place: Beverly Farms Branch Library Board members present: Margaret Altman, Mary Behrle, Alyse Gause, John Kelley, Neil Olson, Kevin O'Reilly, and Joanne Panunzio Board members absent: Anthony Kline Others present: Patricia Cirone, Anna Langstaff Recorder: Anna Langstaff Kevin O'Reilly presided. John Kelley made the motion, seconded by Mary Behrle, to accept the minutes of May 31, 2011 as read. Motion passed. Neil Olson made the motion, seconded by Joanne Panunzio, to: move to go into executive session for the purpose of approving the executive session minutes of May 31, 2011. Margaret Altman — yes Mary Behrle — yes Alyse Gause — yes John Kelley — yes Neil Olson — yes Kevin O'Reilly — yes Joanne Panunzio — yes Executive session concluded and library trustees returned to regular meeting at 7:10 PM. Public Presentation None Committee Reports Personnel: John Kelley reported that two applications were received for Director and Assistant Director positions, one from Patricia Cirone and one from Anna Langstaff Neil Olson made the motion, seconded by Joanne Panunzio, to: proceed with one year contracts for Director and Assistant Director. Motion passed. Library trustees discussed whether to include a cover letter with the contracts expressing the trustees' interest in returning to a three year contract next year. Neil Olson made the motion, seconded by Alyse Gause, to: attach the discussed cover letter to the contract and forward to the Mayor's office. Motion passed. John Kelley suggested that it would be good to plan an informational meeting with the Mayor to discuss contracts after the January 2012 trustees meeting. Administration: No report. Finance: No report. Long Range Planning: See Library Director's Report. Report of the Library Director 1) FY2012 Budget: Budget passed as was submitted by Patricia Cirone, including the 53 week pay period. 2) FY2011 Budget: FY2011 budget is on track. 3) Interviews: Interviews have finished for the Head of Children's Department. Decision will be made soon. 4) Young Adult Position: Elizabeth Manning has resigned from her position as Young Adult Librarian. 5) New Databases: The library purchased Learning Express, a database that includes testing, tutorials, and jobs /career information, and Mango Languages, an online language learning database. 6) Summer Reading: Summer reading programs will be starting soon. 7) Long Range Plan: Trustees discussed survey results and how to proceed with the long range plan that needs to be submitted to the state by October 1, 2011. Patricia Cirone will send comments from survey, raw data, John Kelley's report, questionnaire and current long range plan (with notations of what has been achieved) to library trustees. Trustees will submit comments, additions, deletions, and changes to Patricia Cirone by August 15. Patricia Cirone will incorporate trustees' suggestions into draft of long range plan to be presented at next long range planning meeting. 8) Downloadable Books: Beverly Public Library is consistently #1 of all the NOBLE libraries in downloadable audio and e -books statistics. 9) Delivery Bins: Beverly Public Library is the 51 busiest library in the state for inter - library loan. The top 55 libraries will get their delivery bins pre -sorted so this means a savings of staff time for the library. Communications None Unfinished Business None New Business None The Long Range Planning Committee will meet Tuesday, September 6, 2011 at 7:00 PM at the Main Library to discuss the long range plan. The next regular meeting of the board will be Tuesday, September 20, 2011 at 7:00 PM at the Main Library. There being no further business, the meeting was adjourned at 8:35 PM.
