2010-09-14Beverly Golf & Tennis Commission 09/14/10 Meeting Minutes Meeting called to order at 7:00 p.m. In Attendance: Commissioners Mr. Lowd Mr. Ascilillo Mr. Barger Mr. Richardson GFMI Mr. Murphy Mr. Dion Mr. Page Opening Remarks Mr. Lowd stated that Mr. Crandall, Mr. Lawler and Mr. Lambert would not be attending this evenings meeting; therefore the Finance Report will be discussed at the October meeting. Finance Report Mr. Dunn stated that $1.5 mil was authorized; the Mass. Historic Society granted them $50,000; and they will have $1.6 mil to work with. The Maintenance building is estimated at $300,000 and we have spent to date $186,200. We can possibly get fill from the High School Construction Site once it is tested and they will provide a bulldozer on site to accommodate them. They will have samples sent out to DEP for testing. Mr. Dunn also stated that the bids for the Cartpaths are due in on 10/14/10. He also indicated that the Cartpaths and the roof will be the highest costing repairs and to take that into consideration before taking on any other repairs at this time. BGT Site Projects Pro -Shop The Pro Shop is near completion and should be open within a few days for business. Ms. Gaffey is putting the finishing touches inside and the grates on windows and door will be installed as well as the mantel when it arrives. The Murphy Report Mr. Murphy distributed an overhead picture of the course with cartpaths in red that are to be removed. He also indicated that he has a man working on the brush, chipping it up and seeding areas for long term improvement. He is proposing using this man for another 8 days at the cost of $1200 /day and is requesting $9600 to complete the work including prepping for seeding and grass. Mr. Richardson motions to grant $9600 for the completion of brush /seed work over an 8 day period, seconded by Mr. Barger. Motion carries 4 -0. Mr. Murphy also touched base on another great Capital Improvement but indicated that it was not high on the priority list. He would like to start a "Greens Nursery" of 10,000 SF, estimating $10,240 for greens mix, 8 sprinklers $1200, but indicated he will put this on the back burner. He also indicated that there are other projects that may need to be prioritized; bulldozer $3500, prefab bath near 9 hole, seed $570, and drainage which needs to be done this fall. Mr. Barger motioned to grant not to exceed $12,000 for drainage /infrastructure, seconded by Mr. Ascolillo. Motion carried 4 -0. The Burt Page Report Mr. Page distributes an estimate of light fixtures totaling $2875. Mr. Barger motioned to grant $2875 for light fixtures, seconded by Mr. Ascolillo. Motion carried 4 -0. He also indicated that "A Stitch in Time" needs a deposit for the materials for the remaining draperies; Mr. Dunn will cut that check this week. The Commission has already approved the cost. Mr. Page did investigate replacing the "dumbwaiter" which resulted in a cost of $40,000; therefore he will continue to have the current equipment repaired as necessary. Maintenance Building (new site) Mr. Dunn is waiting for the complete plans to come from Ed; he asked Mr. Murphy to get the plans so they can send them out for bid. Mr. Murphy would like to see the building erected this fall. The bidding cycle is 6 weeks. Tennis Mr. LaPierre indicated they had a great summer with tennis. They retained all members from previous year and also sold some season passes. Also, play was up this year. They hosted 2 out of 5 large New England events. They accommodated the Rec Program, the Camp Program and the Junior Team was up. He also stated that he "does not" need any money from the Commission. The Carter Report (presented by Mr. Dion) He stated that August and September were good months; they anticipate more outings in September. He distributed "Rounds Report" for Mr. Carter. 100 Anniversary Celebration A pamphlet was distributed indicating the date of the celebration to be October 10,2010 starting at 9a.m. This event will be advertised in both The Salem New and The Beverly Citizen. Mr. Barger motioned to adjourn, seconded by Mr. Ascolillo. Motion carried 4 -0.
