2011-04-12Beverly Golf & Tennis Commission 4/12/11 Meeting Minutes Meeting called to order at 7:00 p.m. Commissioners Mr. Lowd Mr. Crandall Mr. Lambert Mr. Lawler Mr. Richardson GFMI Mr. Carter Mr. Dionne Mr. LaPierre Mr. McHugh Mr. Murphy Mr. Page Guest Mr. Dunn Opening Remarks Mr. Lowd welcomed the Commission members, GFMI and guests. Minutes of March Mr. Lawler motioned to accept the minutes of March, seconded by Mr. Richardson. Motion carried 5 -0. Finance Report Mr. Lawler distributed the YTD budget reports to the Commission members for review showing a balance of $61,000 for the remaining fiscal year. Capital Improvement Review by John Dunn Mr. Dunn distributed an up -to -date spreadsheet reviewing budgeted and expended totals of current and future projects. Maintenance Building Update The bids are due April 27, and people are coming back with questions. Two things will then happen; 1)order building (lead -time) and 2) do utility work such as water /sewer while building is on order. The best -case scenario is to erect building before tennis season is started; hope to have the building buttoned up by end of June. Course Improvements The cart paths are complete. Eric Barber is out spot - checking what is left to be done. Mr. Murphy states a good job was done; and only the curbs need to be done. Club House/Pro Shop The roof and dormer work on the clubhouse will start shortly. Mr. Page is concerned about the scaffolding while weddings are taking place. Mr. Dunn indicates to keep communication open with contractors; they are aware of the concern. The Murphy Report Mr. Murphy submitted two GFMI Memo's; Memo #1 Spring Projects Tee Restoration $42,275; various tee work/sprinklers /bull dozer rental/loam /sod. Mr. Lawler motions to accept $42,275 for itemized course improvement work as stated on Memo "Spring Projects /Tee Restorations ", seconded by Mr. Richardson. Motion carried 5 -0. Mr. Murphy submitted a second GFMI Memo #2 Pros hop & Cart Barn Paving $19,175; for paving in front of cart barn area /pros hop and road behind 11 green. Mr. Lawler motions to accept $19,175 for paving stated in Memo #2 seconded by Mr. Crandall. Motion carried 5 -0. The LaPierre Report Mr. LaPierre indicated that he would like to open in May. The contractor will prepare the clay courts. He has the High School boys and girls team helping over school vacation. He also stated the Friendship Team from Quebec will be playing here and he has also indicated that they are at full capacity. He will submit the bill for the contractor for the clay courts and for new nails for the tape. He also stated that the City would come and open up the tennis building. The Carter Report Mr. Carter indicated that the course is open; 200 members and growing. GFMI has paid $325,000 and is paid in full. Mr. Carter submitted a bill for lights on the garage; due to vandalism. He will also speak to Mr. Doig regarding erecting a bench for a long time member who recently passed away. The Dionne Report Mr. Dionne mentioned a new website and the Junior Clinic for ages 7 to 13. The Burt Pate Report Mr. Page indicated that the heat is turned off!!!!! He also stated that they are open 7 days a week, they have a new kitchen man with menu changes. He is moving in a good direction. He is worried about the scaffolding but will work with contractors. He submitted a bill for $780 for fencing erected around the dumpster. People are dumping items in his dumpster and he needed to put a fence and lock around it. Mr. Lawler motioned to accept $780 for fencing around the dumpster, seconded by Mr. Crandall. Motion carried 5 -0. Mr. Page also indicated that National Grid will review the heating usage over the past 5 years and will make some cost affective recommendations before the winter season approaches. The McHugh Report Mr. McHugh indicated the course survived the winter well. Meeting adjourned.
