2009-02-24 City of Beverly, Massachusetts Public Meeting Minutes Board: Library Trustees Subcommittee: Date: Tuesday, February 24,20097:00 P.M. Place: Beverly Public Library Board members present: Alyse Gause, Dennis Geller, John Kelley, Kathleen McMahon, Kevin O'Reilly, and Joanne Panunzio Board members absent: Anthony Kline, Roseann Benson, Neil Olson Others present: Patricia Cirone, Anna Langstaff Recorder: Anna Langstaff Joanne Panunzio presided. Alyse Gause made the motion, seconded by John Kelley, to accept the minutes of January 27, 2009 as read. Motion passed. Election of Officers Kevin O'Reilly made the motion, seconded by Dennis Geller, to nominate Joanne Panunzio as Chair. Motion passed. Joanne Panunzio made the motion, seconded by Alyse Gause, to nominate John Kelley as Secretary. Motion passed. Joanne Panunzio kept committee assignments the same as last year. Public Presentation None Committee Reports Personnel: Library Director evaluation process will begin soon. Evaluation document will be distributed to trustees. Patricia Cirone and Anna Langstaff will meet with Personnel Committee to discuss their contracts. Administration: No report. Finance: No report. Long Range Planning: No report. Report of the Library Director 1) FY2009 Budget: Proposed cuts to FY2009 have been submitted to Finance Director. No word yet on FY2010 budget. 2) HV AC: National Grid has been given the go-ahead to begin fixing the HV AC system. 3) Leaks on Essex Street side of Building: An engineering report has been commissioned to study leaks on Essex Street stairs and fa<;ade. 4) Farms Landscaping: Farms landscaping contract has been awarded. Pre-construction meeting scheduled for March. 5) Liaison to New Immigrants: MBLC has asked each library in Massachusetts to appoint a liaison to act as a contact person for new immigrants seeking information. One of the librarians in the Children's Department will be the official contact. 6) Long Overdue Materials: Patricia Cirone reported that she spoke to the Chief of Police and City Solicitor about whether the police would help the library collect overdue library materials. Patricia Cirone asked the Trustees what kind of monetary cut-off should be considered. The Trustees discussed several issues related to overdue materials, limits on lending, and "problem" borrowers. Patricia Cirone will do more research. 7) Library Incidents: In response to several incidents at the Library, Patricia Cirone will write a letter to River House regarding appropriate levels of behavior at the Library. 8) Legislative Breakfast: Friday, March 6,2009.9) Upcoming Programs: Creating Young Martyrs 2/25/09, Dark Tide Book Discussion 2/26/09, Dark Tide Books Discussion at the Senior Center 3/4/09, Dark Tide Walking Tour of the North End 3/15/09, Current Events Discussion Group 3/24/09, Pancake Breakfast Bookmobile Fundraiser 3/29/09, Alyse Gause Photography Exhibit 3/2/09- 3/30/09; Friends Annual Meeting with president of Montserrat College of Art 4/2/09; Young Adult Poetry Contest and Reception 4/27/09. 10) Summit: Patricia Cirone has been selected to attend a summit to examine the structure of the Massachusetts library system. Communications Communication received from Anthony Kline reminding trustees of the open meeting law regarding communicating via email.
