2007-06-12 BEVERLY GOLF & TENNIS COMMISSION 134 McKay Street Beverly, Massachusetts 01915 Commission Members Jeffrey Klein, Chairman Richard Barger, Co-Chairman Kevin Ascolillo Chad Crandall Gary M. Lambert, Martin Lawler III Doug Richardson Diane Presutti, Recording Secretary Members Absent: Doug Richardson, Dick Barger Mr. Klein called the meeting to order at 7 pm. He stated that there were no guests present and no opening remarks. .Minutes Mr. Lambert motioned to accept the minutes, seconded by Mr. Lawler. Motion carried 5-0. Finance Report: Mr. Lawler stated that no bills were paid in April or May which leaves a balance of$18,000. Bills totaling $12,000 have been entered not yet paid which leaves a total of $6,000 balance which may be transferred to the Reserve Fund. Mr. Klein stated that Mr. Johnson has paid thru May and only owes for June. Mr. Crandall motioned to accept the Finance report, seconded by Mr. Klein. Motion carried 5-0. Facilities: Ramp Repair: Mr. Klein asked Mr. Crandall to look into the status of the handicap ramp and update the Commission at the next meeting. Course Conditions: Mr. Klein spoke to Mr. Eckstrom about the condition of the course. He stated that it is getting better. Mr. Klein asked the members of the Commission to plan a date to play the course to see for themselves. Mr. Lambert stated that he is hearing from members that the course is in rough shape. Staffin2: & Maintenance: Mr. Klein stated that Mr. Johnson's staff has been interviewing for a new pro but no names have been mentioned as yet. Mr. Crandall stated that he has sent a letter to Mr. Johnson requesting maintenance logs and has not received a response to the letter. Mr. Klein suggested sending a following up letter. We don't want any confrontation we just want results and adherence to his contract obligations Tennis Operation: Mr. John Waugh introduced himself as the Operations Director of the tennis facility. He stated that the courts are up and running. They have rented a roller and the courts are nice and smooth. Some are coming along slowly. He also stated that there are four managers running the facility. He stated that the operation will run from 8am to 8pm. There are still some improvements that need to be done, painting fence, roller, etc. He also stated that they will resume responsibility of the BHS Tennis Team and the Beverly Rec. Dept. Mr. Klein asked that he submit in writing any improvement needs and estimated cost and submit them to the Commission in priority order. Mr. Lawler reminded the Commission about the last two courts, when construction is done in Raymond Farms they will be refinished by the Construction Company. Capital Improvements: Mr. Klein suggested tabling this discussion until Mr. Barger returns. Mr. Lawler suggested playing the course before then and sit down with the plans. The Commission will have a new fiscal year budget and they can allocate funds at that time. The USGA will be visiting on July 24, and Mr. Crandall will spearhead that visit. Policy & Grievance: Mr. Klein stated that he has not received any complaints in writing. He did however hear about tee time problems; people scheduling times and not showing up. He stated that they must be cancelled in an appropriate amount of time or be responsible for the fees. Old Business: Mr. Ascolillo has an acquaintance regarding removal of the building from the Historic Register. He will look into and update the Commission at the next meeting. New Business: Mr. Klein stated on behalf of the Commission to work closely with City Hall for the next 30 months on the future of the BGT Club. Mr. Klein also thanked Mr. Waugh for attending and bring the Commission up-to-date on the progress of the tennis program. Meeting adjourned at 8:15 pm.
