2002-01-10 Beverly Cultural Council Meeting Minutes Grant Application Review & Decisions Meeting I January 10,2002 - 7:00pm Beverly Public Library Attending: Marica Hermann, Helen Lewis, Susan Oleksiw, Jan Plourde and Lou Ann Faria Helen Lewis brought the meeting to order at 7:00pm with the following announcements: 1. The Beverly Cultural Council (BCC) was granted $19,130.00 for cultural programs in the City of Beverly for this year by the Massachusetts Cultural Council (MCC). The council discussed the result of the Massachusetts State budget cuts and how this situation will affect individual artists and school programs in our community in the coming year. Funding for the MCC and BCC did remain level for this year. Financial paperwork is to be completed and mailed to the MCC by January 25,2002. 2. We have received notification that our council has been approved for "streamlined" status with the MCC. This means that the council will not have to wait for final financial approval from the MCC on all grant application decisions as long as all new members continue to receive basic training, and that the BCC follows all MCC guidelines with regards to financial paperwork and deadlines. 3. We have received confirmation from the Mayor's office that the following individuals have been approved by the Beverly City Council as new members to the Beverly Cultural Council for a term of three years: Lou Ann Faria, Elizabeth Lund, Doreen U shakoff and Brad Waldron Marcia Hermann distributed fmancial spreadsheets that outline the grant applications for the 2001/2002 grant cycle. Marcia began the discussion and review of all LCC and PASS grant applications for funding by the Beverly Cultural Council (BCC) for the year 2002 by explaining the financial spreadsheets she had generated. All members present were voting on all grant proposals. Grant Applications not completed in accordance with MCC and BCC guidelines were rejected for specific technical reasons. The council reviewed proposals for an hour and a half in an open discussion. The review work from this evening was not completed and will continue at the next meeting - Thursday January 17, 2002, 7:00pm at the Beverly Public Library. Beverly Cultural Council Meeting Minutes 1/10/02 Page 2 Council Members voted and agreed unanimously to pay for the following administrative tasks at a rate of$15.00 per hour from the administrative allowance provided by the Massachusetts Cultural Council this year. 1. Data input of all grant proposals and creation of financial spreadsheets for the 2001/2002 grant cycle. 2. Writing and distribution of press releases, meeting announcements and minutes. 3. Merge mailings generated to notify grant applicants of the approval or disapproval of applications. submitted by: Helen Lewis
