2004-01-14CITIY OF BEVERLY, MASSACHUSETTS PUBLIC MEETING MINUTES Board: Beverly Beautification Committee Date: January 14, 2004 Time: 3:00 p.m. Place: Committee Room, City Hall, 191 Cabot Street Board Members Present: Rod Shropshire, Ellen Todd Board Members Absent: Rosalie Kerr, Jo Lennox, Alice Lombardi, Nancy Ormiston, Lisa McFadden, Susan Mueller, Elda Turner Others Present: Mayor William Scanlon, Planning Director, Tina Cassidy 1. Call to Order Rod Shropshire Vice Chairman, Rod Shropshire called the meeting to order and welcomed participants to the first meeting of 2004. The mission of the committee and its activities and accomplishments during its first year, 2003, were reviewed. Board members present introduced themselves and discussed their roles and areas of particular interest. Activities in 2003 included the refurbishing of Council Chambers, Committee room and hallways; new landscaping and window boxes outside city hall; requesting removal of diseased trees outside city hall; organizing a public 'Clean-up' day for council chambers; taking a photographic inventory of all city traffic islands and their current sponsorship and condition. . With the approval of the Mayor, it was agreed that the committee would continue its activities for the coming year. Planning Director, Tina Cassidy indicated her willingness to provide advice and assistance to the committee as needed. Current members will be polled as to their interest in remaining on the committee and new members will be sought to fill openings. 2. Request for Election of Officers 2004. The nomination of Officers for 2004 was discussed. It was agreed that the positions of Chairman, Vice Chairman, Secretary and Treasurer needed to be filled. Shropshire and Todd indicated their willingness to serve again as officers. Election of officers will be held at the next meeting on February 11, 2004. 3. Collecting all Files and Data from 2003 All files and data from the committee's activities in 2003 will be collected and reviewed. Todd noted that the minutes of all past meetings are available on the city's web site. Cassidy will check on the status of the donations received for the refurbishing of Council Chambers. A city account will be set up for these funds and a treasurer will be appointed by the Mayor to manage the account. Todd and Shropshire provided updates on the improvements to City Hall. Unfinished projects include: a) Window treatments for Council Chambers. The window treatments have been ordered from Calico Corners and a deposit of $500 paid. The expected date of completion is mid-March. Donations toward the cost have been sought. Businesses or individuals sponsor a window in the amount of $150. Casa de Moda, Campbell Funeral Home and Super Sub Shop have each sponsored a window. Additional sponsors are needed to complete the project. b) The restoration of Washington's portrait. It is currently being cleaned and restored and funding has been pledged by the family of the donor. c) Framing and brass plaques for the Councilor photographs has not been completed. Estimates were obtained but donations to fund the project were not obtained. 4. New Business The committee discussed new projects to undertake in 2004. The committee will focus on outside projects this year. Traffic Islands will continue to be a focus and uniform signage will be established. The committee would like to work in conjunction with the many other city groups which are active in improvement projects, such as neighborhood groups, community centers, business groups, youth groups, garden club, historic society, and other civic organizations. 5. Adjournment The meeting was adjourned at 4:00 p.m. The next meeting will take place on Tuesday, February 11, 2004 at 3:00 p.m. in the committee room at City Hall.
