2004-08-11Lynch Park Advisory Committee Meeting Minutes August 11, 2004 7PM Beverly Public Library Members present: Chairman Rich Benevento, Tom and Nancy Clark, Tom Scully , Virginia Currier, Liz Caputo, Ann & Michael Gaudette, Bruce Doig, Nick Zarkades and Joan Fairbank. Roof Recap · Steve Feige has sent a copy of the proposal for the roof renovations that he has also sent to Ray Bouchard. · Discussion took place on the selection process and it was felt the initial selection for the Master Plan was extensive and should suffice for the next phase. Rich Benevento and Tom Scully will check this week with John Dunn and the Purchasing Agent to see if the original contract with Tappe can be amended to include the roof design. Steve Feige will send a possible wording for the contract extension. · The Carriage House work will come under the supervision of the Building Commission as it oversees all vertical construction. The committee includes Ray Bouchard, chairman, Bob Griffin, Tim Brennan, Maureen Hobin and Cheryl Sydorko. This needs to be discussed with them. Hiring a contractor for vertical construction requires bids. · It was decided that if a new selection process is required that it should include the next phase which would be the building envelope, all carriage house work and the remainder of the proposed Master Plan so that this will not have to be done again. This needs to be done as an RFQ (request for qualifications) rather just a low bid. This is too extensive a project not to have experienced quality designers that can deliver. · Tom Scully will discuss the situation with Roy Gelineau to make certain a contract amendment can be done. He will also check the original contract with Tappe. · The scope of this phase of the project includes the roof and balustrades. Design options · Nick Zarkades asked if local architect could be asked to design reproductions of the original elements in the Italian Garden such as columns, statues, fountains, and the arbor and asked to develop associated costs for construction. He thought it would be beneficial to have some of that work coincide with the carriage house. · Nancy Clark questions what could be done pro bono. Tom Scully said that materials and design could be accepted but that installation must be done professionally. Homecoming Wrap Up · Contractor Todd Main gave $100 and would like to be kept in the loop and informed of work and bid proposals. · An individual who works at Gove Lumber has a contact with Marvin Windows and Doors and may be able to solicit the company to donate the windows. · The response from the general pubic was positive and enthusiastic, 12 individuals have signed up to volunteer. People want more historic information concerning the park and the original property. · Five framed prints of the Italian Garden were sold at $100 each. Net about $400 · 4 t-shirts were sold for a $25 donation $100 Cost for t shirt production is $840 · $88 in cash donations was collected in the carriage house donation can. · Nancy Clark will write a letter to the new volunteers thanking them for expressing an interest and inviting them to our next meeting. · COMMENTS An abutter wants to see any projected plantings along the property line before o and planting is done. He does not want to obstruct his view of the park or ocean. Some questioned the need for a new concert pavilion and the proposed o placement. They were told that the project will not be in any near future and explained that it would be advantageous to move it away from the garden and closer to parking and provide the neighborhood with less noise. It would also provide restrooms in an area that presently have none. · Leighton O’Connor a web designer might be willing to help design a web site for the Lynch Park Master Plan. A disc with the Master Plan on it is still needed from Tappe for the web site. · Tom Scully will ask Don Preston if they would sell t-shirts at Casa da Moda. Corporate Sponsorship · Rich Benevento, Tom Scully and Nick Zarkades will attend the next Park and Recreation nd Commission Meeting on Thursday September 2 to give them an update on the project and obtain permission to seek naming rights for the carriage house and the various rooms. It would be somewhere between 25%-50% of the cost of the room/building restoration. th They will meet with Ginny Currier on Aug 26 to set the presentation. Nick will develop a prototype of the box designed for the individuals/companies for the potential naming rights. · All members should bring names/ addresses/etc for potential donors for this aspect of the fundraising. Miscellaneous · The informational panels that Nick designed will be able to be displayed at the Library to maintain interest. · Bruce has the new phone number and Nick will incorporate it into the business cards. Some members will share a mail-box as there are 8 boxes available. · th Next meeting was set for September 16. · Nick will print out stationary as well as mail the letters to the new volunteers. th AGENDA FOR SEPTEMBER 16 MEETING Fundraising Event List Possible Lynch Park Weekend- bands, Taste in the Park, Wet Canvas, etc. Set a time line for future fundraisers Brochure for estate contributions – for financial planners, lawyers, funeral directors.
