COA Board Minutes November 2022 Beverly Council on Aging Advisory Board Minutes Date: November 1,2022 Place: BCOA and Senior Center, Colon Street Members Present: Cynthia Montalbano, Rich Tabbut,Barrence Whitfield, Stephanie Tallo, Jessica Wistran, Blair Smith, Susan Feeney, Stephanie Tallo(called in) Staff Present: MaryAnn Holak,Victoria Guskiewicz, Sandy Mahoney Meeting Called to order: 2:35 Secretary Report Revision will be presented at next meeting Director's Report Building Concerns and Usage Solar Panels Completed National Grid still working Board of Health Vaccine Booster Clinic—November 15,2022, 2:30 -5:30 p.m. Administration and Finances $5,000 gift from Doctor Peter Coleman Year-to-date budget report presented and reviewed.Need expense budget for Enterprise Fund Hope to replace air conditioner units Formula grants update- 11,099 residents of Beverly age 60 and up, 25% of population of City_ $12 X 11,099 residents=formula grant, large increase this year. Programs and Events 3011 Anniversary Plans Reviewed Wall of Fame 301 Anniversary Flyer Finalized plans for event Breakfast Club Update—Orientation in November for students and adults. Start program in December Dr Andrew Budson event was attended by 38 people on October 611. Salerno's provided food Farm Stand officially closed for season. Free apples and squash for November on Tuesdays Labyrinth walks attended by 5-6 people. Younger generation interested. Walk in Woods rained out. Offered again on November 81 at 11 a.m. Free class coupons for new exercise participants being offered in November Senior Soiree not being held in January 2023.Not enough staff to plan Meetings/Activities/Clients/Clients of Concern Case Reviews Lots of clients with concerns. Served individual that hadn't eaten or drank in 3 days. Fell thru cracks of system. Client of concern Outreach Team met last week. Collecting materials for homebound Seniors with items such as blankets. Partnering with other organizations—donation bins. Hope to reach about 100-150 people. Most vulnerable people. Personnel Updates Front Desk Coordinator will start November Y, Julie Cleary. Temporary Coordinator will stay on to help orient for a few weeks. Motion to accept Director's Report by Barrence Whitfield, seconded by Susan Feeney. Committee Reports Awards Committee Meeting Notes presented to BOD. Event planned November 15, 2022 No meeting today of Grant Committee Unfinished Business No update on Covid ARPA Funds request-no update. BMEA/City Job Description Review—should be completed first week of November Fees for Activities—classes led by outside instructors discussed. Some classes not making money. Hoping free classes will incentivize more people to attend. MaryAnn will report on progress of free classes next BOD Meeting. Various options will be discussed. Possibility of using Formula Grant to address shortfall. MaryAnn wrote proposed draft on what to post on Community Bulletin Board. Will discuss next meeting. New Business BOD approved Jessica sending a letter to the Mayor about the Senior Center Parking Lot. She will send email to BOD members.
