May 4, 2021 Secretary's report.docx-1 Beverly Council on Aging Board of Directors Meeting Date: May 4th 2021 Place: Google meets—by phone and computer Members Present: Claire-Marie Hart, Bob Hobbs, Cynthia Montalbano, Stephanie Tallo Jessica Wistran, Susan Feeney Staff Present: MaryAnn Holak, Samatha Kossow Meeting called to order: 2:35 pm Pursuant to Governor Baker's March 12, 2020 order suspending certain provisions of the Open Meeting Law, GLC 30A S 18 and the Governor's March 15, 2020 order Imposing strict limitations on the number of people that may gather in one place, this meeting of the BCOA Board of Directors will be conducted via remote participation to the greatest extent possible. Secretary's Report: Minutes were accepted as written. Director's Report Building Concerns and Usage Inquiry from City Councilor for use of Senior Center for City Council Meetings. Parking lot needs repairs. Front sidewalk in need of replacement-in FY'22 budget line item Pop up tents will be used for outdoor activities. Back sidewalk bricks need repair or replacement. Administration and Finances April financial reports reviewed. Meeting with Mayor Cahill and Finance Director on April 7' Matching grant for"A walk in the Woods" grant will match $1,800.00 towards another program in the fall. Three walks thus far. Good press in Salem News for the Cooks night off program. June meeting— Slate of officers will be nominated. Program and Events Continental Breakfast Seating will be tables of three serving fresh juice and coffee. Planned for lawn games and hotdogs will also be offered. Gail Murley and Joann Sampson will offer their exercise class outdoors in the parking lot and the walking groups will keep on walking. Fresh produce will be offered on Cooks night off, Cooks' night off program, is a lifeline for seniors that are shut ins due to the virus. Meetings/Activities/Clients of Concerns 100 Caregiver bags - distributing them through April and May, this has been a nice partnership with the library police and fire to fill the bags with the appropriate materials. Meetings with Rep. Parisella and Senator Lovely. Handouts on News from Herald Citizen on Senior Community Center caregivers support project. Senior of the Year Nomination form. Personnel Updates Thank you to Chip and Brendan for the wonderful Farm Stand they designed and built. Thank you to Salem State MSW intern, Michelle Mezansky for all her contributions. Her year-long internship ended on April 22"d We were not matched with a Merrimack College fellow for the center for next year. The Director's report was accepted as reported. Committee Reports Grant Committee: Several Grants were approved Awards Committee will meet to discuss Senior of the Year process; nomination form in the May newsletter, form also sent to Beverly churches Unfinished Business Discussion about offering programs in May and June. Board concurred with pre-registration and limited class sized for all activities. Masks will continue to be worn in the building. Property Tax Work Off Volunteers have been assigned and are working in their respective roles. AD, Sam Kossow is still working on Title VI documents New Business Director MaryAnn Holak reviewed the budget drivers and narrative and the proposed budget to the city. Staff are continuing to work on a safe re-opening plan with little guidance from the state Executive Office of Elder Affairs. Staff have discussed a smaller version of Senior Day in the Park and this discussion will be ongoing over the next month. Staff are hoping they might still be assigned a Community Engagement Fellow to begin in August 2021.
