SEPTEMBER 16, 1998
A Meeting of the Planning & Construction Committee was held on Wednesday, September 16, 1998 at
7 PM at the Beverly Public Library, 32 Essex Street, Beverly, MA Present were: Chairman, Raymond
Bouchard, Rod Maxner, Cheryl Sydorko, Tim Brennan, Maureen Hobin and Debbie Comeau, Secretary.
Also Present were: William Lupini, Judith Mulligan and Jeanne Kuespert.
The Meeting was called to order by Mr. Bouchard at 7:03 PM.
A presentation was made by Mr. Jeff Hoover of Tappe & Associates, Inc. on the design plans for the
Beverly Farms Public Library. Mr. Hoover stated that their contract is 90% completed. They still need to
do a cost estimate. Mr. Scully stated that they need to get a fund raising committee together and they have
raised the monies to pay for the feasibility study which cost $20,000.
Update-City Hall Project
Mr. Brennan reported that a meeting was held on September 15th with the Architect, the Elevator
Company and the Contractor. At the meeting the Elevator was slated to be completed January 1 instead
of November 1st. By the end of the meeting, the completion date was changed to the second week in
November. No extension has been asked for by the Elevator Company but a letter has been sent to
the company stating that the City would be seeking damages which probably prompted the change in
schedule. The old elevator would be decommissioned on Tuesday, September 22, 1998.
Update - J-Wing Project
Ms. Mulligan stated that a completion time has been set for the end of October. Ms. Mulligan stated that
there are some issues that need to be resolved. She stated that the corridor past the fire doors was to be
done in block. They decided to change that to brick which gives us a credit of about $4,800.00. There
were some other block changes made to brick which would also cost an additional $1,200 plus
approximately $200.00 more to remove asbetos tiles. The Committee has agreed to wait until they
receive a change order from the contractor.
Ms. Mulligan stated that the High School Roof is completed. The total construction price is $528,059.00
for construction only. We got a $4,566.00 credit. There is still some additional paperwork to be done.
Ms. Mulligan stated that a walk through was done this morning with the Architect at the Patton Wing,
Centerville School and McKay School. Everything is done except for the HVAC work. The only place
where this could be a problem is Centerville because the two rooms will have no heat until the univents
come. The univents were scheduled to be delivrd mid-October and this has been pushed out to the end
of October.
Ms. Mulligan reported that the windows for the Edwards School are scheduled to be delivered on October
8th and delivery at the McKay School is scheduled for October 14th. Mr. Bouchard stated that the Mark
Up Windows are scheduled to go in on September 23rd at the Edwards School at 10 AM and 12 PM at the
McKay School.
Mr. Bouchard reported that a change has been requested for the Boiler Room Door at the Edwards School.
At the time the request was submitted, the Commission did not [know] where it stood financially on that project.
There has been a change order submitted (not signed by Contractor yet) which would give us
approximately a $70,000.00 credit on the project. The installation of the Store Front Door and Window
for the Boiler Room has been reduced in cost from $4,987.00 to $4,527.00. Once this Change is issued,
we will have a credit of $70,554.00. The windows that were ordered will be delivered and used as extras.

Mr. Bouchard reported that on the Brtiscoe/McKay Masonry Project, he asked Gale Associates to prepare
the Contract Work for Signature to bring to the Contractor in. The Contractor already has lifts sitting on the
property to start work. The Contractor is Tristino. The total contract price at this time is $441, 250.00.
Also, the contruction engineering services will be approximately $17,000.00.
