2001-06-26City of Beverly, Massachusetts Public Meeting Minutes Board: Library Trustees Subcommittee: Date: June 26, 2001 7:00 P.M. Place: Beverly Farms Library Board members present: Diane Costa, Edward Brindle, Katherine Fanning, Neil Olson, Kevin O’Reilly, Helga Senko, and John Young Board members absent: Lindsay Diehl, Joanne Panunzio Others present: Thomas Scully, Anna Langstaff Recorder: Anna Langstaff John Young presided. Diane Costa made the motion, seconded by Neil Olson, to accept the minutes of the regular meeting of May 22, 2001 as read. Motion passed. Public Presentation None Committee Reports Personnel: Diane Costa reported that Lindsay Diehl is still collecting director’s evaluations from trustee members. Administration: No report. Finance: Still waiting for City Council to pass the budget. Long Range Planning: Diane Costa reported on Long Range Planning committee meeting of June 21, 2001. Another long range planning meeting will be planned for August. Report of the Library Director 1) Copies of the Director’s report (on file with these minutes) were mailed to Trustees. 2) FY2001/2002 budget has not been passed yet by the City Council. Communications None Unfinished Business 1) Grant: Tom Scully reported on the status of the Massachusetts Historical Commission Grant . The preservation restriction needs to be held by a third party, perhaps the Beverly Historical Society. Tom Scully has talked to the City Solicitor about this. 2) Management employment contracts: Director and Assistant Director’s contracts expire at the end of June. Tom Scully requested that Director and Assistant Director’s contracts be changed to include the City’s payment of dues to ALA and MLA for both positions. Neil Olson made the motion, seconded by Kay Fanning, to: make an addendum to the Director and Assistant Director’s contracts in regards to payment of national and state dues for library societies. Motion passed. 3) Internet Policy: There was a discussion of the internet policy. Neil Olson made the motion, seconded by Edward Brindle, to: reaffirm the public internet use policy as published June 24, 1997 and replace the date of June 2001 with the date of June 2002. Motion passed. New Business 1) Farms Fund Raiser: Saturday, September 8, 2001. 2) Trustees’ Project: John Young brought up the idea of having the trustees take on a fund raising project for the library. Several ideas, such as establishing a CD music collection, improving the science collection, increasing the audio book collection, and establishing an endowment fund were discussed. Tom and Anna will present a “wish list” at the September trustees meeting. 3) Summer Trustees Gathering: Friday, August 17 at West Beach. The next regular meeting of the Board will be Tuesday, September 25, 2001 at 7:00 P.M. at the Main Library. There being no further business, the meeting was adjourned at 8:30 P.M. LIBRARY DIRECTOR’S REPORT June 26, 2001 BudgetFY 2002 - The budget for was approved by the City Council Finance Committee without cuts and has been recommended to the full City Council for approval. Beverly Farms Branch - Grant application has been filed with the Massachusetts Historical Commission for $100,000 for restoration part of the Farms Library project. Other Grants - Attended a conference at Merrimack College along with the Assistant City Clerk on grants for preservation of historical records. Have talked with the City Clerk and representatives from Beverly High School and the Beverly Historical Society about filing some joint grant applications. School Book Talks - The Children’s Librarians and the Young Adult Librarian are in the process of annual book talks in the elementary and middle schools. Summer Reading - The Children’s Librarians, Branch Librarians, Young Adult Librarian and school librarians and English teachers have prepared the summer reading list. The lists are available on the school library web pages and the public library web pages. Bookmobile - The Bookmobile will begin its summer schedule next week which involves exchanging school stops for playground stops for the summer.
