Costa Others present: Recorder: Anna Langstaff Regular Meeting Board of Trustees - Beverly Public Library June 19, 1995 7:00 PM Present: Nancy Bender, Edward Brindle, Kay Fanning, Margaret Goodwin, Neil Olson, Kevin O~,eilly, Helga Senko, John Young. Also Present: Thomas Scully, Anna Langstaff. Margaret Goodwin presided. Kay Fanning made the motion, seconded by John Young, to accept the minutes of May 15, 1995 as read. Motion passed. Committee Reports Personnel: No report. Administration: Helga Senko reported on Administration Committee meeting held June 12, 1995 to formulate an exhibit policy. Edward Brindle made the motion, seconded by Kay Fanning, to: accept exhibit policy as recommended by the Administration Committee. Motion carded. (Policy on file with these minutes.) Finance: No report. Long Range Planning: No report. Report of the Library Director 1) Long Range Plan: Tom Scully reported on status of long range plan and availability of grant money. 2) Farms Building: Tom Scully has asked an engineering consultant to quote a price for a building evaluation of the Farms Branch. Caleb Loring offered to help solicit funds for this study. 3) Budget: City Council may pass budget on June 26th. 4) Personnel Contracts: Tom Scully's and Anna Langstaffs employment contracts are on the agenda for tonight's City Council meeting. 5) Farms House Tour: This fund raiser raised $6000 for the Farms. 6) FY 94/95 Budget: State aid funds will cover short falls in budget. 7) Circulation Statistics: Tom Scully distributed circulation statistics comparing FY 93/94 to FY 94/95. Communications None. Unfinished Business None. New Business 1 ) Meeting with Mayor Scardon: Margaret Goodwin reported on her meeting with Mayor Scanlon to discuss inequity in Tom Scully's salary. 2) Board agreed to spend $35 out of sunshine fund for a contribution to Peter Manning Scholarship Fund in memory of Alec Nelson. 3 ) Personnel Matter: Neff Olson made the motion, seconded by Kay Fanning, to: enter into executive session for the purpose of discussing a personnel matter. The Board will reconvene after executive session. Motion passed. Regular session resumed at 8:30 PM. The next meeting of the Board will be Monday, September 18, 1995 at 7:00 PM at the Main Library. There being no further business, the meeting was adjourned at 8:35 PM. Anna Langstaff, Recorder BEVERLY PUBLIC LIBRARY 32 Essex Street Beverly, MA 01915-4561 508 921-6062 FAX 508 922-8329 BEVERLY PUBLIC LIBRARY BOARD OF TRUSTEES EXHIBIT POLICY In accordance with the Library's role as a cultural, educational, and informational center, the Beverly Public Library welcomes the use of the Library's exhibit space by individuals and organizations. Exhibit space will be made available to qualified individuals and groups, regardless of their beliefs or affiliations, provided the content of the display is within the broad standards of community acceptability. The space is accessible to all Library patrons with no attempt to restrict access on the basis of age. Exhibitors should consider this when selecting the content of their show. Selection: Potential exhibitors must submit an application form to the Library's Art Advisory Committee for review. The works of art will be judged on artistic merit with preference for exhibit space given to Beverly residents and people or organizations affiliated with Beverly. Acceptability of an exhibit is at the discretion of the Art Advisory Committee; however, the Library reserves the right to refuse or remove material judged unsuitable. Decisions of the Art Advisory Committee may be appealed to the Board of Trustees on issues of process but not on artistic merit. Art Advisory Committee: This Committee is comprised of four Beverly-affiliated art educators and practicing artists and either the Library Director or a member of the Board of Trustees. Committee members are selected by the Library Director and confirmed by the Board of Trustees for renewable one year terms. Duration: The standard exhibit length will be one month, but the duration may be extended or shortened at the discretion of the Library's Art Advisory Committee. Liability: The Library cannot assume liability for lost, stolen, or damaged art. The exhibit space is unsecured and unsupervised, leaving materials vulnerable to theft or vandalism. Exhibitors must sign a waiver holding the Library and the City of Beverly harmless for lost or damaged art. Also, exhibitors are financially liable for any damage to the Library walls or property beyond normal cleaning. Display Methods: Exhibitors will hang (or set) and remove their work, and artists must supply materials needed to display the art. Exhibits in the Barnet Gallery must be hung from the picture rail. Nothing is to be aff~ed to the walls. Information tags and the like must be attached to the art, frame, or stand and not to the walls. Unless special arrangements are made in advance with the Library, exhibits must be set up and removed during regular business hours. Sales: Price tags are not to be displayed on the art works, but a printed list may be made available by the artist. All sales transactions must take place off Library premises. Publicity: The Library will send to local newspapers a press release prepared by the artist with a written description of the materials on exhibit, the artist's training and background, and any other pertinent information. This information should be provided at least three weeks before the exhibit opens. If the artist wants additional publicity-brochures, posters, flyers, or advertising-it must be created and paid for by the artist. Flyers or posters prepared by the artist will be displayed in the Library. Permission to exhibit does not constitute an endorsement of the exhibitor or the content of the exhibit by the An Advisory Committee, the Library, or the City of Beverly.
