Fanning Others present: Recorder: Anna Langstaff Regular Meeting Board of Trustees - Beverly Public Library May 15, 1995 7:00 PM Present: Nancy Bender, Edward Brindle, Margaret Goodwin, Nell Olson, Kevin O~Reilly, Helga Senko, John Young. Also Present: Thomas Scully, Anna Langstat[. Margaret Goodwin presided. Nancy Bender made the motion, seconded by Edward Brindle, to accept the minutes of April 24, 1995 as read. Motion passed. Committee Reports Personnel: Neil Olson reported on personnel committee meeting held April 26, 1995. Tom Scully explained changes made in direetor's and assistant directors contracts. Nell Olson made the motion, seconded by Kevin O~Reilly to: recess for fifteen minutes for a meeting of the personnel sub-committee and to reconvene the full Board aRer this recess. Motion carded. Personnel committee then met to discuss its recommendation on Director's and Assistant Director's contracts to the full Board. After the full Board reconvened, Neil Olson reported on meeting held by Personnel Committee. Committee agreed to recommend to the full Board that the prepared document of Director's and Assistant Director's contracts (on file with these minutes) be recommended to the negotiating parties of the City at the upcoming negotiation sessions. It was also noted that the materials selection policy must be made consistent with Director's contract. Nancy Bender made the motion, seconded by Neil Olson, to: accept the contracts for Library Director and Assistant Library Director as revised by the Personnel Committee for presentation to the City. Motion carded. Administration: Tom ScuHy presented a draft of the exhibit policy (on file with these minutes). Administration Committee will meet June 12, 1995 at 7:00 PM to timher discuss the exhibit policy. Finance: No report. Long Range Planning: 1 ) Nancy Bender reported on Appraisal Day. Date: Saturday, September 30, 1995. Time: 10 AM - 3 PM. Location: Cove Community Center. Cost: $5 per piece, $10 for 3.2) Nancy Bender asked for volunteers to help work on Long Range Plan. Report of the Library Director 1) Tom ScuHy passed around a copy of American Libraries article that included a photograph of the Beverly Public Library. 2) Fund Raisers: Farms House Tour will be held Saturday, May 20, 1.995. Friends Book Sale will be held June 23 and 24, 1995. Volunteers are needed for, both events. 3) Second budget meeting with Mayor is scheduled for May 16, 1995.4) Tom Scully discussed current budget. Communications None Unfinished Business None New Business None The next meeting of the Board will be Monday, June 19, 1995 at 7:00 PM at the Main Library. There being no further business, the meeting was adjourned at 8:00 PM. Anna Langstaff, Recorder Draft BEVERLY PUBLIC LIBRARY EXHIBIT POLICY In accordance with the Library's role as a cultural, educational and informational center; the Beverly Public Library welcomes use of the Library's exhibit space by individuals and organizations. Exhibit space will be made available to qualified individuals and groups, regardless of their beliefs or affiliations, provided the content of the display is within the broad standards of community acceptability. Preference for exhibit space win be given to Beverly residents and persons or organizations associated with Beverly. Exhibitors must submit an application form to the Library's Art Advisory Committee for review. Potential exhibits will be judged on artistic merit and quality of presentation. Duration of the exhibit is at the discretion of the Art Advisory Committee. Wle Library reserves the fight to refuse or remove any material judged unsuitable or to rescind, an exhibit for violation of this policy. Acceptability of an exhibit is at the discretion of the An Advisory Committee. The decisions of the Art Advisory Committee may be appealed to the Board of Trustees on issues of process, but not artistic merit. The exhibit space in the Library is accessible to all of the Library's patrons. No attempt is made to restrict access on the basis of age and exhibitors should consider this in preparing the content of their exhibit. The Library's exhibit space is unsecured and materials are liable to theft or vandalism. Exhibitors must provide their own insurance. Exhibitors must sign a waiver holding the Library and the City of Beverly harmless for lost or damaged articles. No price tags may be displayed on art works, but a printed price list may be made available with the exhibit and purchases must be transacted outside the library. Exhibitors are responsible for hanging or setting and removing their exhibits. Unless special arrangements are made in advance with the Library, exhibits must be set up and removed during regular business hours. Exhibits in the Barnet Gallery must be hung from the picture rail. Signs must be attached to the art object, not the walls. Exhibitors are not permitted to attach or affix anything to the walls. Exhibitors are financially liable for any damage to Library walls or property beyond normal cleaning. Permission to exhibit does not constitute an endorsement by the Library of either the exh'bitor or the contents of the exhibit.
