Brindle, Diane J. Costa, Katherine L. Fanning, Margaret C. Goodwin, George Heller, Neil B. Olson, and Helga Senko Board members absent: Margaret L. DeSantis Others present: Recorder: Anna Langstalf Regular Meeting Board of Trustees - Beverly Public Library April 25, 1994 7:00 PM Present: Nancy Bender, Edward Brindle, Diane Costs., Kay Fanninq, Margaret Goodwin, George Heller, Nell Olson, Helga Senko. Also Present: Thomas Scully, Anna Langstaff. Nancy Bender presided. Kay Fanning made the motion, seconded by Margaret; Goodwin, to accept the minutes of February 28, 1994 as read. Motion passed. Committee Reports Personnel: No report. Administration: No report. Finance: Edward Brindle requested an up-to-date account of disbursement of funds for the next trustees meeting. Long Range Planning: No report. Report of the Library Director 1 ) Meeting with Mayor Seardon: Tom SeuHy briefed the Mayor on the h'brary budget. Priority is book budget; $50,000 is included in proposed FY 94/95 budget. Tom SeuHy also explained the need for more staff (Young Adult Librarian, Reference Librarian, Children's Libmart, circulation staff) although this is not included in proposed FY 94/95 budget. 2) Chamber Music Concert was a huge success. 3) Building: End panels expected this week. Circulation desk should be here within two weeks. Caleb Loring Jr.'s donation ($25,000) has been received. More furniture is being ordered. There is enough money to furnish the Fogg Room, Children's Room, and Young Adult Room. Study cartels for Reference Room can be ordered. If there is any money left over, paperback racks for the Reading Room will be ordered. Woodwork on stairway is complete, awaiting staining and painting. Arbitration is continuing. 4) NOBLE is installing new hardware and software beginning week, of May 23. Computers will be down from May 22 to June 5.5) Meeting with School Superintendent, Lawrence Chase: Tom Scully may be invited to join a school subcommittee that is preparing plans for school building expansion projects. We are offering school department access to our CD/ROM network. 6) During the week of May 16th the library will accept donations of canned goods in lieu of fines on overdue materials. Communications 1) Margaret Goodwin submitted letter sent to Paul Van Ness in response to his presentation to the Board. 2) Note was taken of letters to the editor in Beverly Times and Salem Evening News from Annette Janes, Hamilton Public Libradart, praising Tom Scully. 3) Farms Friends flyer was exhibited. Unfinished Business 1) Solicitation letter: Tom ScuHy passed out draft of solicitation letter to be sent to Bank Fund rain people as well as selected other people and/or after letter has been sent out (week of May 16) follow-up phone calls will be made. This will be discussed at next trustees meeting. 2) Formation of ad-hoc art committee: Discussion was field to determine the purpose of this committee and who should be invited to join. Suggestions for members: Rose Olson, Montserrat gallery manager Ruth Bauer, Guild of Beverly Artist member, a photographer, and/or a high school art/photography department member. Approximately six members should be enough. Topics to be included in the policy are donation of artwork, use of the wall space, and criteria for exhibits. Other issues are insurance and sources of funding. Nancy Bender offered to sit oil this ad-hoc committee and she will organize a meeting before the beginning of the summer. 3) Funding for music series: Tom Scully will look for funding for music series. 4) Barnet prints: Money is needed to get Barnet prints properly flamed. Perhaps this is something the art committee could consider. 5) Donated Barnet prints: W'tll Barnet donated 3 of his works to the library. 1: "Young Artists," original, signed print poster, worth $200400. He assumed this would be sold. 2: "The Reader," signed print, worth $100. 3: "New England Woman Called Dawn," all original lithograph, deluxe edition oil Japanese paper, worth $2000. Will Barnet thought the library could sell this but Nancy Bender thought it should be kept. Will Barnet also mentioned a print entitled "Woman on Stairs" currently located in the Will Barnet Room. The Library might consider selling this print. A decision on this and the above mentioned items will be deferred until the next trustees meeting. 6) Nancy Bender is, writing thank you notes to people who helped with art auction and dedication ceremony. Edward Brindle thanked Nancy Bender for all her work in planning the dedication ceremony. 7) Art auction: Ticket sales: $1,725. Receipts from Ross Galleries: $750. Diane Costa noted the large role George Heller played in organizing the art auction. Nancy Bender also thanked him for the original idea. New Business 1 ) Long Range Planning Committee: Should this committee disband? Administration committee could take over building concerns and development of 5-year plan. fithere is not a lot of work for Long Range Planning Committee this year, then the next year the committee will be diminated. 2) Book Donations: There was a discussion of how to handle the public relations aspect of people who want, to donate books. 1) Meeting Room Policy: There was a discussion of a new meeting room policy form. Some changes were made in the wording and it was agreed to use this form on a six month trial basis. Neil Olson moved to accept the meeting room reservation form with the changes so noted. Seconded by Kay Fanning. Motion passed. The next meeting of the Board will be Monday, May 16, 1994 at 7:00 PM at the Main Library.
