Fanning Others present: Recorder: She~la Glowac~ Regular Meeting Board of Trustees Beverly Public Library April 26, 1993 7:35 PM Present: Nancy Bender, Edward Brindle, Diane Costa, Margaret DeSantis, Margaret Goodwin, Neil Olson, Helga Senko. Also present: Thomas Seully, Sheila Glowacki. Nancy Bender presided. Disposition of the minutes of the previous meeting: Ed Brindle moved that the minutes of the previous meeting be approved. Motion passed. Long range planning report: 1 ) It was decided that the first 10 or 15 minutes of each trustees meeting will be a L.R.P. committee meeting. 2) Nancy Bender reported that she and the Director met with Louisa Conrad a week ago Thursday and the meeting was extremely positive. 3 ) The fund raising brochure was distributed. Tom and Nancy will be making a presentation at the Rotary on May 13. 4) We met with Dick Kelly and he agreed to work out a donation form that would assure donors that their gift would go to the library and not into the city treasury. 5) For the next meeting we will think of ways we will handle grass roots donations. 6) We will do the appraisal day again this year. We hope to have it at the new library either September 18 or October 2.7) The Showcase of Homes tour is on May 15 this year. Kay Fanning is selling tickets. Report of the Librarian: 1) A copy of the financial statement was distributed. 2) A description was given of the different colors in the new building. Currently they are working on the outside masonry, putting the caps on the retaining wall, and putting on the stair treads. The are paving the parking lot, putting in the curbing, and doing the landscaping. Inside, they have started the painting but we stopped them because of the quality of the work. Lights are in and woodwork is done on the top floor. Bathroom is in and the water is nmning. Lights are in, so the 4th floor is pretty much done, except for the carpeting. On the lower floors they are still doing things like the wood trim and they are repairing the plaster in the old building. Electrical work is being finished up. They are getting ready to test the fire alarm system. 3 ) Concerning our operating budget, we are right about on target with the personnel budget. In the maintenance account we are on budget except for the bookmobile maintenance account and the utility accounts. Supply accounts are okay. 4) We have been working on cooperative activities with the schools. We have quarterly meetings with the school librarians. This year our children's librarian worked with the elmmary and middle school librarians to prepare a summer reading list for the students. This summer the schools will be sending to us their duplicate copies of books that are on the reading lists. We have had staff swap days where our librarians have gone and spem time in the school libraries. We are also working to get the schools on line in the NOBLE network. The Director and the children's librarian were invited to speak to the school committee about the cooperative activities and were well received. 5) Examples of library promotional materials produced by Mary Harvey were distributed. 6) According to the newspaper, the budget is going to the Board of Aldermen next Monday night. They have 4 5 days to review it before they have to vote on it. 7) Anna Langstaff is in charge of the volunteer effort to move the library back across the street. A local moving company offered to help us plan the move without cost. 8) Sheila Glowacki will be in charge of planning the dedication activities. Next meeting will be May 17.
