Shindler Board members absent: Others present: Recorder: Sheila Glowacki Regular Meeting Board of Trustees -- Beverly Public Library June 19, 1989 7:30 P.M. Present: Nancy Bender, Diane Costa, Fran McCarthy, Susan Salt, Helga Senko, Toby Shindler. Also present: Thomas Scully and Sheila Glowacki. Nancy Bender presided. Disposition of minutes of the previous meeting: Susan Salt moved that the minutes of the previous meeting be accepted. Motion passed. Committee reports: Administration: No report. Finance: In the absence of Mr. Brindle, Tom Scully gave the Finance report. The F/Y 89-90 budget was passed by the Board of Aldermen with a couple of changes. The book account was reduced by $30,000. so that it was back to level funding. This will bee the fourth year that the book account has been level funded. The $230. for boiler insurance was transferred out of our budget to an account that handles all the city's insurance. Raises for the Director and AssistantDirector were reduced to 5%. We received an increase of $1600. in the custodial supply account. We also received $15,000. for a delivery van add $2500. to replace the micro~che reader printer in the reference room. The Building Commission budget was approved With $70,000. that should fund the architect for two months. Personnel: Mr. Shindler reported that the Personnel Committee met and reviewed the three year contract for both the Director and the Assistant Director. After a few minor corrections and additions to both contracts the committee voted unanimously to approve both contracts. Fran McCarthy moved to accept the committee report. Motion passed. There will be another Personnel Committee meeting on July 10 to discuss the annual performance evaluation of the Director. Report of the Librarian: 1) The Director requested vacation for the weeks of July 10 and 17. 2) Circulation statistics showing an increase in all departments were distributed. 3) Will Barnet has illustrated a book of Emily Dickinson's poetry and will be at the library and the Farm's Branch on July 5 to sign his books. Proceeds will go to both Friends groups. 4) Donations in the mount of $6800. have been given to the library this past year as well as books and museum passes form both Friends groups and individuals. 5) We have been searching for off site storage for the collection during construction'. Gordon College offered space in their new building but we would not be able to fit the whole collection there. Kelleher Construction has space but they are asking $18. per square foot per year. U.S.M. has the best offer at $4.50 per square foot per year which would be $40,000. over the two years of construction. 6) We have purchased free standing magazine shelving for the reading room in order to free up the bookcases to accommodate the two years of growth of the collection during the construction. 7) The Board of Library Commissioners confirmed the two million dollar grant award to Beverly. The City now has to vote to accept the award and we have to meet certain conditions. The bond money has to be in place, which it is. The city also has to issue a building permit. 8) The Director distributed a list of proposed holiday closings. Toby Shindler moved to accept the list as policy for holiday closings for the library. Motion passed. 9) Summer programming includes a summer reading club at the main library and the Farms. The recreation department will be doing a crafts program at the main library. There will be a pajama story hour at the main library. 10) Bids for the library van will be opened on July 27. Communications: A birth announcement was received from Nancy Tripp, League observer.
