Costa, Vada Komich, League of Women Voters Recorder: Sheila Glowacki Regular Meeting Board of Trustees -- Beverly Public Library November 17, 1986 7:30 PM Present: Edward Brindle, Kay Fanning, Kathleen Henrichon, Kevin Murphy, Neil Olson, Susan Salt, Toby Shindler, Nancy White Also Present: Diane Costel, Vada Komich, League of Women Voters; Jon Ekstrom, Beverly Times; Tom Seully; Sheila Glowacki Kathleen Henrichon presided. Disposition of the minutes of the previous meeting: Under the Administration Committee report the phrase "by the assistant city solicitor and the building commission" was inserted in the second sentence between the words "decided" and "to". Nancy White moved that the minutes be approved as amended. Motion passed. Committee reports: Personnel: Mr. Shindler asked Sheila Glowacki to read the minutes of the October 28, Personnel Committee meeting. Mr. Brindle distributed a sample policy concerning the use of drags and alcohol by employees. Board members were asked to review the document to be discussed at the next meeting. Concerning the Director's salary, Mr. Shindler is still trying to meet with the mayor concerning the matter. Administration: Mr. Murphy reported that he had sent a letter to Mr. Petronzio asking him if he could meet with Mr. Scully and Mr. Murphy to discuss the placement of the plaque for Joe Vittori. Concerning the roof, the matter is now in the hands of the city solicitor. Mr. Murphy has requested documentation for his files. Another request for a resident parking sticker has been made. This was referred to the Administration Committee for study. Finance: Mr. Scully reported that he met with the Finance Commmittee and discussed items that he would like to see accomplished within the next couple of years. Two items that he would like to request are $5,000 for maintenance at the Farms and a 10% increase in the book budget. The Finance Committee will be meeting again to discuss priorities. Long Range Planning: Nancy White reported that the L.R.P. Committee met on October 27 and was in contact with the assistant city solicitor by phone who advised that the next step was to request a building commission be set up. Kathy Henrichon contacted the mayor and requested that Neil Olson, John Coogan, and John Quinn be appointed to the Building Commission. The mayor accepted the recommendations and appointed them to the Commission. President Henrichon extended a sincere thanks to Nancy White and the members of the L.R.P. Committee for their hard work and bringing the building program to this phase. Librarian's Report: 1) Asbestos removal at Farms - Kay Fanning, Susan Wise, Frances Trowt have agreed to serve on the commission. Specifications are being drawn up to go out to bid and hopefully it will be just a one or two day job. 2) Circulation statistics for the Farms were distributed. Circulation is up as compared to same period last year. 3) Mr. Scully was approached by Bob Perron about acquiring some Lucy Larcom and Henry Adams letters that we own. 4) Mr. Scully was approached by a collection agency to see if we would want to use their services to retrieve long overdue books. He will study our situation and see if our situation warrants it. 5) Preliminary ideas for an advertising campaign by Mullen Advertising were distributed. These could be used as newspaper ads, direct mailing eirculars, posters etc. These would promote the library expansion, announcing the new bookmobile and also a promotional piece for the Friends. Communications: A note was received from Will Barnet thanking the Board for naming the upstairs meeting room for him. New business: Nancy White moved to notify the clerk of committees that the bookmobile is surplus property and may be disposed of as the city sees fit. Motion passed. The Director is in the process of writing the specifications for the new bookmobile. He and Mr. Shindler will visit North Reading to view a truck that is similar to what we want. Kay Fanning announced that the Farms Branch will have its annual Christmas Open House on Wednesday, December 10 from 3-5 p.m. The next meeting will be Monday December 15, 1986 at 7:30 p.m. The meeting adjourned at 8:40 p.m. Sheila Glowacki - Recorder
