Ayers, Richard L. Buckley, John R. Coogan, Dr. Edna M. McGlynn, and Nancy A. White Board members absent: Mary K. Connots, Katherine L. Fanning, and Roger E. Morency Others present: Recorder: Barbara Smith Regular Meeting Board of Trustees - Beverly Public Library October 19, 1981 Roll Call of Members: Present were: Neil Olson, Jack Coogan, Richard Buckley, Nancy White, Dr. Edna MeGlynn and Lester Ayers. Also present were: Esther Calish, Barbara Smith, and Linda Corman from the Beverly Times. The following documents were distributed: Financial report for August and September; statistics for September. Minutes of the September meeting were accepted as presented. Motion was made by Mr. Coogan and seconded by Ms. White. Motion carded. Committee Reports: Administration - Mrs. Calish stated that the following repairs to the building should be read into the record: roof over the Beverly Room leaks; front doors need to be replaced; building is leaking over the Reading Room windows; there are leaks into the closets on the upper level. Mr. Olson directed Mrs. Calish to consult with Alan Taubert about how to proceed, particularly in obtaining names of contractors and spedlying language for bid specifications. It was also suggested that she should contact some local general contractors to obtain estimates. A meeting of the Administration Committee would then be called. Finance - Mrs. Calish pointed out that $1250 of Other Gifts in the financial report is from the Kiwanis. She asked for guidance in the preparation of next year's budget. It is the consensus of the Board that the budget should be based on actual need and include sufficient money to be open normal hours and to purchase books on a pre-2 ¼ level. Report of Librarian: Mrs. Calish read the report of the Youth Services Coordinator and also reported that the Gala earned the $2,000 that was its goal. She wanted the Board to be aware that the prime source of income for the Friends, the copy machines, has been drastically cut and that this will hurt the library. The Friends has 60 new members. Their Annual Meeting will be Sunday, November 1. A report from Jan Steams concerning the volunteer situation at the Farms was read in part. Although well-meaning, the volunteers are not sufficiently trained and have not been adhering to their commitments. They have agreed to come to the Main Library for complete training. Under the circumstances, the Branch is operating reasonably well. They are much busier since school has opened. Upon motion of Nancy White, seconded by Jack Coogart, the Farms will be closed during the holiday weeks (December 23 and 24, December 30 and 31) because of lack of staffing and to conserve fuel. Motion carded. Mrs. Calish said that she and Sue Kadet wot~d be presenting our slide show to the Elks Club on November 3. Mrs. Calish commented on a book rental program which had been instituted at Waltham according to the way she would like to see one run. She said that she would discuss this with the Friends. It was moved by Mr. BuckIcy and seconded by Mr. Coogan that the Friends submit their proposal for a rental book collection to the Board after a study had been made by them and Mrs. Calish. Motion carded. Mrs. Calish read a thank you letter from a patron for reference assistance received and a letter from the Beverly Guild of Artists requesting another exhibit such as the one held last year. Upon motion of Mr. Coogan, seconded by Mr. Buckley, the meeting adjourned at 8:50 p.m. The next meeting will be on Monday, November 16 at 7:30 p.m. Barbara Smith Recorder
