The Trustees held their regular monthly meeting on the above date.
Present Messrs. Driver, Giddings, Woodberry, Dodge and Bulkeley and Misses Lofing and
Sohier.
The meeting was called to order by the chairman.
The records of the last meeting were read and approved.
The finance committee to whom was referred the subject of compensation of Miss Ethel
Dodge who had been engaged to serve as assistant to the librarian during Miss Jennie P. Dodge's
leave of absence reported. Recommending that Miss Ethel Dodge receive during her term of service
the same amount monthly as that received by Miss Jennie P. Dodge.
On motion of Miss Sohler, it was
Voted That the report of the Committee be accepted and their recommendations be adopted.
The report of the committee on preparation of the catalogue as presented by Mr. Woodberry
was read and accepted.
On motion of Miss Loring, it was
Voted That the 1st recommendation be adopted.
On motion of Mr. Giddings, it was
Voted That so much of the 2d recommendation as is contained on the first ten lines relating to a
prepared list of books (2 lists to be made) be adopted and that the remaining portion of the
recommendation together with the remainder of the report be laid upon the table for two
weeks.
Voted That a committee of two consisting of Messrs. Woodberry and Giddings to consider the
balance of the report of the catalogue committee and report at an adjourned meeting. The
chairman was added to the Committee.
On motion of Miss Loring, it was
Voted that a special meeting for the purpose be held on Sat. Sep. 17th @ 4 P.M.
On motion of Mr. Giddings, it was
Voted That the recommendation presented by Miss Loring relating to the attendance of the Librarian
and assistant and establishing the meal hours be adopted.

Report of the Committee on Catalogue together with the recommendation of the Committee on
Administration.
The Special Committee known as the Committee upon the Catalogue and charged with the
publication of the catalogue and other related matters, submits herewith its Report, as follows,
1. A printed and bound volume entitled "Beverly Public Library: Finding List." containing lists No.
1,2,3,4, and dated July 1894 to May 1898.
2. The shelf numbers of the books have been made to conform to the system of arrangement used in
the card catalogue.
3. A new system of registry for circulation has been adopted.
4. Volumes condemned and not replaced, 64. Volumes added 69. Volumes in the French Language
added 212.
5. The Committee desires to express its thanks to the Librarian and her assistants for their interest,
energy and efficiency by means of which the rapid compilation of the work was accomplished; and
also to make record of the obligation to Prof. Ella H. Richards of Boston for her advice in the
purchase of scientific works.
6. The committee attached to this Report an explanatory document prepared by Mr. Dodge of the
Committee and being a brief abstract of the expense charged to the account of the Catalogue incurred
and paid under the direction and authority of the Board.
7. The Committee begs leave to recommend the adoption of the following resolutions as a result of
the observation of the state of the Library in the course of its work.
First. That from and after October 1s' 1898 excepting fiction, no new books be covered; that no old
books be re-covered, but that when their present covers are worn out or soiled the books be
treated as new books; that the shelf numbers be attached directly to the backs of books not
covered and be entered also on the inside of the back board of such books; that books bound
or re-bound by the Library have stamped upon the book title, the author' s surname and the
shelf-number.
Second. That the Librarian be directed to prepare a full list of all books whatsoever new in possession
of the Library but not in their places on the shelves, excepting only such as are withdrawn to
be recorded or re-bound; also a second list of all books which are in their places on the
shelves but for any reason whatsoever are not freely and regularly delivered to borrowers
without question; and that these two lists be referred to the committee mentioned in the third
resolution.
Third: That a standing committee be appointed by the President, to be known as the Committee on
Circulation, consisting of three members of the Board; that the committee be charged
specially with the oversight of the use and circulation of books and other printed matter of
the Library, with the recommendation of all books for purchase and all periodicals for
subscription.
