Conrad, Dorothy Cook, Bruce Lancaster, Frederick Pierce, Carolyn Standley, and Thomas J. Toomey Board members absent: Russell P. Brown, Saul J. Cagan, and Thomas J. Casey Others present: Recorder: Marion A. Brown Beverly, September 18, 1958 The regular meeting of the Board of Trustees was held at the Library on the above date at 7:30 with Mrs. Conrad presiding. Present were Mrs. Cook, Miss Standley, Mr. Toomey. Mr Pierce, Mr. Lancaster. The records of June 18 were read and approved as was the report of the Finance Committee giving a summary of expenditures and balances to date. A letter was read from the Mayor stating that the Budgets must be ready by Nov. 15 - not later than. Dec. 1. Mr. Toomey gave a detailed report of the Commission on Repairs. As the money is practically gone he will bring in a full report at the next meeting. Fundamentally the building is in perfect condition and Mrs. Conrad expressed grateful thanks on behalf of the Trustees. Mrs. Conrad explained that the gift of $500 from Alfred Moffitt should be used for something appropriate for the Farms Branch. It was felt that Mrs. Conrad be empowered to invest the $500 as needed at the Farms Branch and it was so voted. Mr. Lancaster and Mr. Pierce were asked to assist Mrs. Conrad. The report of the Circulation Committee was read and approved as was the Librarian's Report giving activities for the month. A discussion of tables and chairs for the new study room was held and it was decided that two tables and 8 chairs be purchased at once. (Existing chairs & tables were used for the present) A request for the use of the Library Auditorium, Nov. 18 from the Beverly Municipal Credit Union was read. It was voted that they have the use of it as in the past. At Mrs. Palmer's request for $103 for repairs to her car it was voted that $25 was all that could be allowed. At Miss Hahn' s (teacher at Endicott) request for the use of the hall for Ballet teaching it was voted that it could not be used for this purpose. At Mrs. Tate's request for a week's leave of absence without pay it was recommended that she use her winter vacation time. It was voted to promote Mrs. Cynthia Symonds to the position of Reference Librarian at $3080 per year to begin Sept. 22 and to appoint Mrs. Eva Patch, part-time assistant at Farms to Junior Assistant at Beverly $2550 per year to begin Sept. 22. A letter was read from Dr. Richard Thayer concerning the illness of Mr. James Clark present janitor. Dr. Thayer advised Mr. Clark to confer with Dr. Senecal for a thorough examination. Mr. Toomey offered to obtain added information. Mrs. Conrad read a letter from Mr. Minigan, 4 Winter St., requesting the Trustees to sell him a piece of land 20 ft. frontage and 50 ft. deep to add to existing lot. It was left that this letter be given to Mr. Cagan and he as Trustee send an opinion for the Board. Mr. Toomey read a letter from Chamber of Commerce as to the Winter St. parking lot. He felt it might be wise to co-operate. Many felt that the deed should be explored first and a long range master plan be carried out, also as a Committee for a Children' s Building was appointed further study should be made. A suggestion was made that the Chamber should be notified. Voted: next Trustees meeting be held Thurs. Oct. 23 Adjourned 10:15 Marion A. Brown, Clerk
