September 8, 2020 Meeting Minutes BG&T COMMISSION MEETING MINUTES Board: Golf and Tennis Commission Date:September 8,2020 Location:Zoom Members Present:Chair William Lowd, Vice-Chair Martin Lawler, Kevin Ascolillo, Chad Crandall Members Absent:Arthur Athanas, Andrew Cooper Others Present:City of Beverly – Dave Gellineau, Sean Ciancarelli GFMI Staff – Steve Murphy, Chris Carter Recorder:Donna Musumeci Opening Remarks: Bill Lowd –Welcome all via Zoom. Donna did a roll call on the motions. Martin Lawler:Motion to approve the minutes of June 9, 2019. Kevin Ascolillo seconded. The motion carries (4-0). Financial Update Report: Martin Lawler advised we get all the budget updates from City Hall, but it is hard to do these days with the current situation. Bill puts together the BG&T Financial Balance Status page (in our handout for the meeting) after we get the most recent numbers from sBill said we should let all the invoices accumulate till the hot top project is completed and review the budget line items to reflect the proper accounts. BG&T Site Projects: XGD #2 hole work; city is still working on the prevailing wage numbers and won’t have until the fall; OPM and Architect review still in review with the City Solicitor office; Other Commission Projects Report: Maintenance Yard ; completed invoices are in. Sean did a great job. Mike Collins added an additional drain; took 70 cement blocks @$100 each plus tax, shipped from ME. EKB – all the gravel was put down and leveled; created a road from the maintenance garage, to thth 9 Tee and 8 green cart path, all is connected now. Improves the ability to get the equipment out onto the course safely. EKB advises this work is done and hot top ready. Sean is still working on a quote and pricing for the paving, based on city pricing. We could potentially be ready to pave this week or next. Bill thought the original quote was $40K, but Sean is hoping it comes in for less. The bin locations changed a little but the final product looks good per Bill and Sean. MAAB Automatic Door Opener; door opener is in and is being installed and just needs electrical connection for the button. Once it’s done, the City can let the MAAB know. Sean still waiting on the other two items for approval from the MAAB. th Ladies tee is done on the 18 hole, looks good. The Nursery is complete, the invoice for $4,197 was sent to David. We also have an invoice for stump grinding for $1800; both invoices had already been approved. Chad comments that we still have pending $47K for XGD, $42+K for the yard drain, and $40K for the hot top, do we have enough funds ? Bill advised there is still funds available. David did mention we can do one hole (XGD) for less than $10K or it has to go out to bid. Material for the Practice Bunker – got a pallet of sod and all the dirt, still need 2 more loads of loom for the maintenance yard, and then it can be seeded. Steve Murphy said thank you for the changes, everything looks nice. David wanted to thank Sean for getting all of this maintenance done; it has taken eight years. Kevin Asolillo:Motion to approve $1500 for loom for the maintenance garage area and to fill around the sand bunker with some sod. Chad Crandall approved. The motion carries (4-0). Golf Updates: GFMI: Chris advised August was a great month with 6,679 rounds of golf, a 10% increase over last June, and that people were happy. The member guest tournament went very well. Unfortunately, we can’t do functions right now with COVD and that does hurt. However, we’ve had a positive year with memberships, 472 and we have 12 new members. The fees will look better after we take deposits for the new memberships on 9/1. We had 128K in green fees, which is very good. The pro shop has done well with $42K. And, the pub has done well considering what we have been able to do with it, given the restrictions for inside. Chris advised for Mike LA Pierre that the tennis program has been strong. They had a couple of successful events that went well, including the Beverly Homecoming Tournament. There is a USC event coming up, and we plan to keep 6 courts open for September and will close 4 in October. thth Chris had a few other items. He advised there was a small accident on the 11 and 12 hole; it is hard to see with the growing vegetation, and a woman hurt her shoulder. We need to continue with pursuing BSC and cutting down the vegetation on the pond. It is growing and becoming more difficult to deal with. Bill advised as soon as we hear back from the Mayor’s office, we should be able to pursue. Chris suggested we start to get permits from conservation and plan on getting the work done. Chris also advised some lights are not working on the building. There are lights in the middle of the ceiling that look out to the parking lots, and the area down to the pub. The cart barn lights as well. There are two fixtures that are out and Steve advised Chris to replace them. The GFMI electrician took care of it. Bill advised Chris to send the invoice in.
