COA 3-5-20Beverly Council on Aging Board of Director's Meeting Date: March 5, 2020 Place: BCOA Members Present: Claire -Marie Hart, Bob Hobbs, Jessica Wistran Esquire Staff Present: MaryAnn Holak Meeting called to order: 2:38 pm Secretary's Report: Motion to approve minutes of 02/03/20 were accepted as written. Director's Report: Building Concerns and Usage New hand sanitizers totaling 8 were ordered to be installed throughout the building as part of planning for the COVID 19 virus. Mobile Market — still successful, though Bootstraps is leaving food behind which can hard for us to dispose of. Administration and Finance FY `20 YTD Budget Review Budget on target; MaryAnn meeting with Mayor Cahill for FY'21 budget planning on April 7, 2020. City Councilor Estelle Rand will come to the April Board meeting. Title III b grant comes in monthly installments, after we submit a monthly report. It was being allocated to the incorrect account but is now corrected. Programs and Events Property tax work off has been increased to $1,000 per participant and some new slots at the Senior Center may be allowed. Working with Stephanie Bilotti, Chief of Staff on this project. A volunteer information session is planned for April 9. The 10 wk. Aging Mastery Program will begin on April 9, with funding from Beverly Hospital. St. Patrick's Day is being celebrated on March 12. Planning a "fishing for your feedback" interest /satisfaction survey for the week of March 16. TRIAD Council is hosting coffee hours with Chief of Police, Library Director and the Mayor. Planning underway for Older Americans month- May 2020. AARP /RSVP tax preparation program is underway through April 16. Congregate lunch program has not been well attended. Discussion underway to make changes, every Wed. in March, there will be a choice between a sandwich meal or a hot meal. Community Engagement We submitted our application for a Community Engagement Fellow for 2020 -21. Game night is planned through May 2020. The next Breakfast Club will take place at the high school. The Multi - Cultural Club is celebrating all things Irish in March and Albanian in April. Meetings /Activities /Clients of Concern S. Feeney, C. Montalbano, B. Hobbs and MaryAnn Holak attended Sr. Care's Valentine Breakfast on February 14. MaryAnn is meeting with Beverly Main Streets and Paul Lanzikos about initiating an "Age Friendly" community project. James Fuccione of MA Healthy Aging project will also meet with this group. Social work and outreach team are meeting every week to review clients of concern and discussing next steps and action for each client. MaryAnn reminded Board members of the Open Meeting law training scheduled for March 16. Personnel Updates Still have vacancies for Outreach Coordinator and Transportation Coordinator Union contract settlement requires a members to be trained in CPR and First Aid, classes will be provided by the city and the staff will receive a stipend for attendance. One of the two SSU social work students will not finish the internship with us due to poor attendance. Committee Reports The Awards and Grant Committees did not meet this month Unfinished Business Review of the capital budget request to the city was tabled until a future meeting. Review of job description and role clarity was table to a future meeting.
